Missing documents in a transaction file on Mac: how realtors catch them before closing

To find missing documents in a transaction file, build one checklist per deal, compare it to what is actually saved, and chase every gap in writing. On a Mac, Google Sheets in Chrome, Gmail, and Finder cover all three steps for free.

The short answer

  • Keep one checklist per transaction, with a row for every document, an owner, and a due date.
  • Compare the checklist to the saved file twice a week, not only when closing feels close.
  • Check each document itself. A draft, a screenshot, or a one-sided signature does not count.
  • Chase gaps in writing, so every missing item has a dated paper trail.
  • No public study we checked measures how often files are missing documents, so treat the costs as practical risks.

What missing documents in transaction files costs you

Days lost on a closing clock

The average purchase loan closed in 36.8 days in March 2026, according to ICE. A document that waits a week can push a closing date. Every day the file waits is a day the buyer waits too, and buyers notice.

Hours spent searching and re-sending

Realtors reported a median of 35 hours a week in 2025, per NAR's member profile. Searching folders and re-sending requests comes out of the same week. Those hours rarely show up anywhere you can bill them.

Trust with buyers, sellers, and lenders

Clients remember a closing that slipped without a clear reason. A dated, specific request for one document reads as organized. A surprise call the day before closing does not. Lenders and title contacts learn how your files usually look.

Brokerage and license exposure

Your brokerage may require a complete file before it signs off on a deal. A missing disclosure or signature can also raise questions later. Check your brokerage's transaction policy and your state's rules, then fix gaps while they are small.

Deals that stall late

A missing addendum or an unsigned form often surfaces in the last stretch. By then the other side has planned around the date. Late gaps cost the most, even when the fix is simple, because the timeline has no slack.

Why it happens

  1. Too many people touch one file

A buyer file passes through you, a transaction coordinator if you have one, the lender, the title company, and the buyer. Each person can assume another one sent the page. Nobody owns the full list unless someone writes it down.

  2. No single list for the whole deal

Documents live in email, a shared drive, a text thread, and a lender portal. Nobody sees all four at once. A document can arrive, get saved, and never get counted against the requirements.

  3. Partial, draft, or unsigned copies

A page signed on one side only looks complete at a glance. A pre-approval saved as a screenshot may be out of date. A draft attached to an email can look final. Each one passes a quick look and fails a real check.

  4. Unclear ownership of each document

Who sends the earnest money receipt? The buyer, the title company, the listing side, or you? When the owner is unclear, each party waits for another. The gap stays open until someone asks directly.

  5. Requirements that change by deal

Forms and requirements depend on the state, the brokerage, the lender, and the type of deal. A checklist built for a standard purchase can miss a document a different deal needs. Check each file's requirements at the start, not from memory.

  6. Checking too late

Many gaps surface because the file is only compared at the end. If the list is first checked the week of closing, you learn about each gap in the worst week. Early checks turn the same gap into a short email.

How to fix it

These work with or without any app.

  • Build one checklist per deal in Google Sheets

Use one tab per transaction. Put each document on its own row. Add Owner, Due, Status, and Where it is columns. The sheet works in Chrome with a free Google account, so you buy nothing to start.

  • Use a Status dropdown for every row

Select the Status column, then choose Data > Data validation. Set the rule to a dropdown list with Missing, Requested, In file, and Not needed. A fixed list stops small spelling differences from hiding a gap.

  • Turn missing rows red

Select the Status column, then choose Format > Conditional formatting. Set the rule to Text is exactly Missing and pick a red fill. Missing rows stand out when you open the sheet, even on a busy day.

  • Compare the list to the file on a set schedule

Pick two fixed times each week, such as Monday and Thursday. Search Gmail for the address with has:attachment and filename:pdf. Open the folder in Finder and compare each file to its row. Update the status only after you check the content.

  • Name every file the same way

Use the street, the document name, and the status, such as Elm Street pre-approval signed.pdf. Matching names let you search the folder and spot gaps at a glance. Do this as files arrive, not at the end.

  • Put each deadline in Apple Reminders

Create an Apple Reminders item with ⌘N for each request due date. Copy the deadline from the contract, not from memory. For a meeting-based check, add a Calendar event so it shows on your Mac.

  • Close the loop when a document arrives

When a document arrives, change its row to In file. Write the date and sender in Where it is. Save the signed copy in the folder under the agreed name. A closed row is the only proof the file is complete.

  • Review the list before each milestone

Before offers are accepted, before contingency dates, and before the final walk-through, read the whole list out loud. Reading it aloud catches rows you have stopped noticing.

Gaps in a transaction file often show up late. A lender asks for a signed page, or a title company sends a list the week of closing. This page shows you how to find missing documents early, what the gaps can cost, and how to set up a checklist on your Mac with tools you likely already have.

What missing documents cost you

Here is the honest part first. We could not find a public study that counts how often transaction files are missing documents, or what each gap costs. The numbers in this section describe timing and workload. They do not measure this problem directly.

The ICE Mortgage Monitor says the average purchase loan closed in 36.8 days in March 2026. That was the fastest pace since ICE began tracking in 2019. On a schedule that tight, a document that waits a week can use up a large share of the time left before closing.

transaction sides for the typical individual agent in 2025, according to NAR

35 hours

median weekly hours Realtors reported working in 2025, unchanged from the prior year

NAR 2026 member profile shows Realtors more experienced

NAR reports that the typical individual agent had nine transaction sides in 2025. Each side is a file with its own list. A gap that repeats across that many files is a pattern, not a one-off slip. Realtors also reported a median of 35 hours a week, so chasing the same page twice is expensive.

A worked example: one buyer file

Say you have a buyer's file with a purchase agreement, a pre-approval letter, an earnest money receipt, and an inspection report. The lender asks for the signed pre-approval. You open the shared folder and find a draft that nobody signed. The signed copy sits in a text thread with the buyer. Nobody has told the lender yet.

That is a missing document, even though the folder looks full. A file can hold many pages and still fail the one check that matters. Counting files is not the same as checking documents against a list.

The fix starts with a list you can see. The table below shows a starter checklist for that same file. Change the rows to match your brokerage checklist and your state's forms.

Build a transaction file checklist in Google Sheets on Mac

Google Sheets runs in Chrome and works with a free Google account. You can finish the setup in one sitting. Follow these steps in order, starting from a blank sheet at sheets.google.com.

  1. Name the first tab with the street address of the deal.
  2. Type the document names down column A, one per row.
  3. Add Owner, Due, Status, and Where it is across the top, in row 1.
  4. Choose View > Freeze, then pick the top row so the headers stay visible.
  5. Select the Status column, then choose Data > Data validation and add Missing, Requested, In file, and Not needed.
  6. Select the Status column again, then choose Format > Conditional formatting. Set Text is exactly Missing to a red fill.

A dropdown keeps the status words consistent. Typed words like missing, Missing, and not yet all look different to a filter. Four fixed options mean every row reads the same way, even when three people edit the sheet.

Check a transaction file for missing documents twice a week

Search Gmail for the street address and has:attachment. Add filename:pdf to narrow the results. Compare each attachment against column A. Mark a row In file only after you open the document and check the signatures.

In Finder, open the transaction folder. Select a PDF and press Space to preview it without opening an app. Use ⌘I to see the date and size when two versions look alike. Rename each file with the street, the document name, and the status, such as Elm Street pre-approval signed.pdf.

Chase missing documents without sounding like a nag

A good request names the document, the deadline in the contract, and where to send it. Here is a short version you can reuse. Hi Dana, the lender still needs the signed pre-approval letter for the Elm Street file. Could you send a copy by Thursday? Thank you.

Write the request in Gmail. Use Schedule send from the arrow beside Send if the deadline needs a timed reminder. Keep the request in one thread. A reply in that thread is the paper trail you will want if a date slips.

Mistakes that keep files incomplete

  • Treating a draft or an unsigned copy as a signed document.
  • Trusting a lender or title portal to show everything you sent.
  • Keeping the checklist in your head instead of in a sheet.
  • Asking for a title document in the week of closing, not at the start.
  • Saving files as scan or document, so nobody can tell them apart.
  • Marking a document as not needed without writing down who decided.

Some documents depend on the deal, such as an HOA addendum, a septic report, or a seller disclosure form. Mark those Not needed when they do not apply, not blank. Add a short note with the reason, so a second person does not reopen the question.

Where Lazur helps with this problem

Lazur is a voice assistant for the Mac. You hold a key and talk. It sees your screen only while you hold the shortcut, points at things, answers out loud, and guides you through steps. It does not click buttons, edit your files, or run your apps for you. You still do the checking.

  • Hold ⌥ ⌘ and ask what is missing from the checklist on screen. Lazur answers out loud.
  • Ask where the Status column is. Lazur circles it and labels it on your screen.
  • Ask Lazur to walk you through conditional formatting. It waits for each click.
  • Hold fn to dictate the request email at the cursor in Gmail, then read it before you send.
  • Ask Lazur to set an Apple Reminders item for the Thursday deadline.
  • Start a research job. It runs in Lazur's own Chrome tabs and returns a summary. Check the sources yourself.

Lazur sends audio and the screenshot to AI providers to answer you. Those are not stored, and content is never used to train AI models. Your brokerage and state rules on client data still apply, so check them before a client's file goes near any AI tool.

Lazur has a 3-day Pro trial with no credit card. It starts when you first open the app. Pro is $18/month, or $15/month billed annually, with 150 AI actions. Dictation is unlimited on both plans. See pricing for the full list. The checklist method above works without Lazur.

Transaction software can flag required documents for you. SkySlope says its platform marks required documents as flagged and sends recurring email reminders until they are uploaded. Its transaction coordinator page lists mobile apps and no Mac desktop app, so check the site for what runs in a browser on your Mac.

Dotloop is another option. Its App Store listing shows iPhone, iPad, and Apple Vision apps, with no Mac entry. Its description mentions tasks and progress, but not document checklists. Ask the vendor for a live demo before you assume a feature exists.

A plan you can start this week

  1. Day 1

    Build the list

Open one live transaction. Create a Google Sheets tab with the rows from your brokerage checklist. Add Owner, Due, Status, and Where it is columns, then save the sheet in the transaction folder.

  2. Day 2

    Set the dropdown and colors

Add the Status dropdown with Data > Data validation. Then add the red rule with Format > Conditional formatting. Test both on one row before you move on.

  3. Day 3

    Audit the file

Search Gmail for the address with has:attachment. Open the folder in Finder and preview each PDF with Space. Mark each row In file, Missing, or Not needed, with a note on anything unclear.

  4. Day 4

    Send the requests

Draft one email per missing item in Gmail. Name the document, the deadline in the contract, and where to send it. Use Schedule send for any request that needs a timed reminder.

  5. Day 5

    Set the deadlines

Add each due date to Apple Reminders with ⌘N. Put the milestone dates from the contract in Calendar. Check that each reminder names the document, not only the deal.

  6. Day 6

    Mid-week check

Run the Gmail search again, then compare the folder to the list. Chase any row still marked Requested for longer than you expected. Log what arrived late and why.

  7. Day 7

    Review the week

Count the gaps you caught early and the ones that surfaced late. Decide which rows need a standing rule for the next deal. Save the sheet as your template for the next file.

Questions people ask

What does missing documents in a transaction file mean?

It means a required page is not in the file, or the file holds a version that does not count. Examples include an unsigned draft, a screenshot of a letter, or a page signed on only one side. A file can look full and still be missing one document.

How do I find missing documents in a real estate transaction file?

Build a list of required documents for the deal, then compare each row to what is saved. Search Gmail for the address with has:attachment, and check the shared folder by eye. Update each row only after you check the document itself.

Is there data on how often transaction files are missing documents?

We did not find a public study that counts this. The ICE timing data for May 2026 covers loan timing, not documents. Track your own gaps for a few deals to see your pattern.

Do I need a paid transaction management app to find missing documents?

No. A Google Sheets checklist, a Gmail search, and Finder cover the core steps. Paid tools can add reminders. SkySlope says it sends recurring reminders for flagged documents, so check its site for what your plan includes.

Can Lazur check a transaction file for missing documents?

Lazur answers questions about what is on your screen while you hold the shortcut. It can point to a row, guide a click, or draft a request. It does not check the file for you, and it does not click or edit in your apps.

Can I paste client documents into an AI tool?

Follow your brokerage's rules and your state's rules on client data first. Lazur sends audio and the screenshot to AI providers to answer, and they are not stored. Content is never used to train AI models.

Who should send a missing document, the agent or the client?

The contract and your brokerage decide that. Use the Owner column to write down who owns each row. When the owner is unclear, ask in writing before the deadline arrives.

How often should I check a transaction file?

Check it twice a week, plus before each contract milestone. A fixed rhythm catches gaps while they are small. Waiting for the week of closing turns a simple request into a rush.
