How to add a table in Numbers on Mac: the Table button, styles and resizing
To add a table in Numbers on Mac, click the Table button in the toolbar, then pick a style or drag one onto your sheet. Apple's guide calls this a style picker, and it lists no Insert menu entry or keyboard shortcut for adding a table.
Quick answer
- Click the Table button in the Numbers toolbar, then choose a style or drag one onto the sheet.
- Move a table with the Table handle in its top-left corner. Add rows with the Add Row button at the bottom-left.
- Delete a table by clicking its Table handle and pressing Delete. Rows that hold data need Option-drag.
- The steps follow Apple's guide for Numbers 15.4, which needs macOS 26. Check Numbers > About Numbers.
What you need
- A Mac that runs macOS 26 Tahoe, the minimum for Numbers 15.4
- A Numbers spreadsheet open to the sheet you want
How to Add a table in Numbers on Mac in Numbers on a Mac
Open the spreadsheet
Open Numbers, then open the spreadsheet that should hold the table. Click the sheet tab for the sheet you want. The table goes onto the sheet you have selected, so check the tab first. If you start from a blank sheet, add the table before you type any data.
Click the Table button in the toolbar
Find the Table button in the toolbar and click it. A row of table styles opens. Apple describes this as a style picker, not a dialog, so there is no confirmation step before the table appears.
Tip: Apple's Mac guide lists no Insert menu entry for tables, so look in the toolbar instead.
Pick a style or drag one onto the sheet
Swipe to see more styles. Apple's guide points to a stock-information style in the bottom-right corner of the picker. Click a style to place it, or drag it onto the sheet and let go where you want it.
Tip: Dragging gives you the position on the first try. You can still move the table later.
Move the table with the Table handle
Find the Table handle in the top-left corner of the table. Drag the handle to move the table anywhere on the sheet. If you don't see the handle, click the table first.
Tip: Dragging the Table handle moves the table. It does not change the size.
Resize the table and keep its shape
Shift-drag
Click the table, then click the Table handle. Shift-drag the white square in the bottom-right corner to resize the table proportionally. Resizing changes the size, not the number of rows and columns.
Tip: Shift keeps the shape. Resizing does not add or remove rows or columns.
Add rows and columns
⌥↓
Drag the Add Row button in the bottom-left corner to add rows. Drag the Add Column button in the top-right corner to add columns. For a single row, select a cell and press ⌥↓ to add a row below it. Press ⌥→ to add a column to the right.
Tip: Hover over a row number or column letter, then click the small arrow that appears for insert options.
Turn on alternating row color
⌥⌘I
Click the table. If the Format sidebar is hidden, press ⌥⌘I to show it. Click the Table tab, then select Alternating Row Color. Use the color well next to it to pick a different stripe color.
Set header rows and freeze them
In the Table tab, open the Headers & Footers pop-up menus. Set header rows, header columns or footer rows, up to five of each. Turn on Freeze Header Rows or Columns in the same area to keep them visible while you scroll.
Tip: Set your headers before you fill in the data, so the table is easier to read as you type.
Check your version if the steps differ
If a step doesn't match your screen, check the version. Click Numbers in the menu bar, then choose About Numbers. Apple's guide covers Numbers 15.4.
Tip: TidBITS reports that Numbers 15.4 requires macOS 26 Tahoe.
Numbers keeps tables in a different place from most Mac apps. You won't find a table command in an Insert menu, because Apple's Mac guide doesn't list one. The Table button in the toolbar does the job. Click it, pick a style, and the table lands on your sheet. The rest of this page covers what comes after: moving, resizing, adding rows, formatting, locking and fixing the common problems.
Check your Numbers version first
The steps on this page follow Apple's Numbers for Mac guide, which covers Numbers 15.4. To check your version, click Numbers in the menu bar, then choose About Numbers. TidBITS reports that Numbers 15.4 requires macOS 26 Tahoe. If your version is older, the buttons may sit in different places, and this page does not cover older releases.
Apple's release notes for 15.1, 15.3 and 15.4 list no table, row, column, menu or toolbar changes. That suggests the steps match across those releases, but this page is written for 15.4.
- A Mac that runs macOS 26 Tahoe, the minimum for Numbers 15.4
- A Numbers spreadsheet open in front of you
- The Format sidebar, which you can show with ⌥⌘I
- A table that isn't locked, if you plan to change it
Pick a table style and place it on the sheet
After you click the Table button, a set of table styles opens. Apple calls this a style picker, not a dialog. Swipe to see more styles. Apple's guide also points to a stock-information style in the bottom-right corner of the picker.
Click a style to place it on the sheet, or drag it there. Dragging lets you choose the spot on the first try. Clicking is quicker when the position doesn't matter, because you can move the table afterward with the Table handle. Either way, you can change the table once it is on the sheet.
Move and resize the table
Every table has a Table handle in its top-left corner. Drag that handle to move the table anywhere on the sheet. If you don't see the handle, click the table first. Resizing is a separate step. Click the table, click the Table handle, then Shift-drag the white square in the bottom-right corner. Apple's resize page says resizing changes the size of the table, not the number of rows and columns.
Add and remove rows and columns
Adding rows is a drag. Find the Add Row button in the bottom-left corner of the table. Drag it to add rows, and drag it back to remove empty ones. Columns use the Add Column button in the top-right corner, which works the same way. When you need rows and columns at once, drag the bottom-right button. That adds or removes both together.
Numbers also gives you a menu for each row and column. Hover over a row number, click the arrow that appears, and choose Add Rows Above or Add Rows Below. Column letters have the same arrow, with Add Columns Before, Add Columns After and Delete Selected Columns. The menu is quicker when you need a new row in the middle of a table.
| Task | Mac shortcut | What it does |
|---|---|---|
| Add row above | ⌥↑ | Adds a row above the selected cells |
| Add row below | ⌥↓ | Adds a row below the selected cells |
| Add column right | ⌥→ | Adds a column to the right of the selected cells |
| Add column left | ⌥← | Adds a column to the left of the selected cells |
| Delete rows | ⌥⌘⌫ | Deletes the selected rows |
| Delete columns | ⌃⌘⌫ | Deletes the selected columns |
Each shortcut acts on the selected cells. Select a cell next to the spot you want to change, then press the key. Apple notes that some shortcuts can be changed in System Settings, so your keys may differ from this list.
Delete a table or only some rows and columns
To delete a whole table, click the table, click the Table handle in the top-left corner, then press Delete. Look at the sheet before you press it. Once the table is gone, you need the Table button and a new style to get one back.
Rows and columns follow a different rule. Numbers deletes a row or column normally only when every cell in it is empty. To remove rows or columns that hold data, hold Option and drag the bottom-right button. Apple's rows page describes this method, so use it when a plain delete doesn't work.

Formatting lives in the Format sidebar. Click the table, then open the sidebar with ⌥⌘I if it's hidden. Click the Table tab. Apple's guide puts the header, footer, freeze and color controls there, so you rarely need another menu.
Under Headers & Footers, pop-up menus set header rows, header columns and footer rows. A table can have up to five header rows, five header columns and five footer rows. Freeze Header Rows or Columns sits in the same area. Freezing keeps the header visible when you scroll a long table.
Alternating Row Color adds stripes, which helps readers follow a wide row across the page. Select it in the Table tab. A color well next to it lets you pick a different stripe color. Start with a light stripe, because it is easier to read than a dark one.

Lock a finished table
Locking matters when a table is part of a template that other people fill in. Click the table, open the Arrange menu, and choose Lock. A locked table can't be edited, moved or deleted. To change it, click the table, open the Arrange menu again, and choose the command that switches the lock off. Lock a table only after you finish building it. Locking protects headers and formulas before you share the file.
Table keyboard shortcuts on Mac
Apple's shortcut page covers more than the row and column keys. These are the other table keys worth knowing. Apple lists them for tables and the sidebar, so they help once your table exists.
- ⌘A: selects all table content
- ⌫: deletes a selected table, or the contents of a selected cell
- ⇥: selects the next cell, and adds a column when you are on the last cell of a row
- ⌥⌘← and ⌥⌘→: select the first or last populated cell in a row
- ⌥⌘I: shows or hides the sidebar
- ⌃`: opens the next sidebar tab
- ⇧⌃`: opens the previous sidebar tab
Keep one warning in mind. The Delete key handles a selected table and a selected cell differently. Select the Table handle when you mean the whole table. Otherwise, you only clear the text in one cell.
Mistakes people make with Numbers tables
- Looking for an Insert menu entry. Apple's Mac guide lists none, so use the toolbar Table button.
- Pressing Delete with one cell selected. That clears the cell, not the table.
- Dragging the Table handle when you meant to resize. The handle moves the table, so use the white square in the bottom-right corner.
- Using a plain delete on a row with data. Hold Option and drag the bottom-right button instead.
- Forgetting that a locked table can't change. Open the Arrange menu and switch the lock off first.
- Deleting a table linked to a form. The form is cleared too.
Most of these mistakes come from one habit. People treat the table as a single object, when it has several handles, and each one does a different job. Learn which handle does which job, and the table gets much easier to control.
Numbers for iCloud compared with the Mac app
Numbers for iCloud has a Table button too. Apple's guide describes the row handle at the bottom-left, the column handle at the top-right and the bottom-right handle for both. In the browser, the Table tab sits at the top of the Format sidebar.
The browser version has real limits. Apple lists 255 columns, 65,535 rows and about 130,000 cells with data per table on iCloud.com. Tables past those limits can be viewed in the browser but not edited. You also can't create range-based pivot tables there, so use the Mac app for those.

Where to go next with your table
Most tables get sorted or filtered next. This site has a guide for each: sort a table by column in Numbers on Mac and filter table rows in Numbers on Mac. When the data is final, export the spreadsheet to Excel if someone else needs it.

If it does not work
- The Table button is missing from the toolbar
- Confirm that a Numbers spreadsheet is open. Then check your version under Numbers > About Numbers, because these steps are written for Numbers 15.4.
- Pressing Delete cleared text but kept the table
- A cell was selected, and Delete clears cell contents. Click the Table handle in the top-left corner first, then press Delete.
- Numbers won't delete a row
- A plain delete works only when every cell in the row is empty. Hold Option and drag the bottom-right button to remove a row that holds data.
- The table won't move, resize or change
- The table may be locked. Click the table, open the Arrange menu, and switch the lock off, then try again.
- I moved the table when I meant to resize it
- Press ⌘Z to undo the move. Then resize with Shift-drag on the white square in the bottom-right corner, not the Table handle.
- The form is empty after I deleted a table
- Deleting a table linked to a form made in Numbers for iPhone or iPad clears the form. Rebuild the table with the Table button, and check the form before you reuse it.
