Quick answer

  • Numbers calls a drop-down list a Pop-Up Menu. Look for it under Data Format in the Cell tab.
  • Select the cells, open the Format sidebar, then choose Cell > Data Format > Pop-Up Menu.
  • Double-click an item to edit it. Use Add Item and Delete Item to change the list.
  • One menu holds up to 250 items. Empty cells get placeholder items such as Item 1, so replace them.
  • In a table, press Space bar to open the menu, then choose with the arrow keys and Return or Space bar.

What you need

  • A Mac running macOS 26 or later if you use Numbers 15.4.
  • A Numbers spreadsheet with at least one table in it.
  • The cells you want to turn into the menu, selected or easy to select.
  • A short list of the items people will choose from.

How to Create a drop-down list in Numbers on Mac in Numbers on a Mac

  1. Select the cells for the menu

Select the cells in the column where the drop-down should appear. Drag across them, or click the first cell and Shift-click the last. If those cells already hold text, Numbers uses that text as the menu items.

Tip: Make the selection before you open the Format sidebar, so the sidebar acts on the cells you picked.

  2. Open the Format sidebar

    ⌥⌘I

Open the Format sidebar if it is hidden. The sidebar holds the cell controls you need in the next steps.

Tip: Apple's shortcut page lists ⌥⌘I for the sidebar but does not name the Format sidebar, so check which panel opens.

  3. Click the Cell tab

    Format sidebarCell

In the Format sidebar, click the Cell tab. The Data Format setting sits on this tab.

  4. Choose Pop-Up Menu as the data format

    CellData FormatPop-Up Menu

Click the Data Format pop-up menu and choose Pop-Up Menu. The selected cells become a pop-up menu, and the list editor appears.

  5. Edit the items in the list

Double-click an item to type new text. Keep item names short so they fit in the column and read at a glance.

Tip: Replace any placeholder such as Item 1 with a real name right away.

  6. Add or delete items

Click Add Item below the list to add an item. To remove one, click it, then click Delete Item. Stay under the 250 item limit.

Tip: If you hit the limit, move long lists to a separate sheet and use a lookup formula.

  7. Reorder and set the default

Drag items up or down to change their order. Then choose Start with Blank or Start with First Item from the pop-up menu below the list.

Tip: Pick the default that matches how the file will be used, then test both settings on a copy.

  8. Test the menu from the keyboard

    Space bar

Select a cell with the pop-up menu and press Space bar to open it. Move with the arrow keys, then press Return or Space bar to choose an item.

Tip: Apple's guide and its shortcut page differ on the choose key, so test both.

  9. Check numbers and dates

Look at any numeric or date-like items. Apple warns that formatting a cell which already holds a value can change how the value shows, and that a hyphen or slash can trigger a date format.

Tip: Retype any item that changes after you apply the menu.

Numbers does not use the phrase drop-down list. Apple calls this control a Pop-Up Menu, and it does the same job. A cell shows one value from a list you define, and the person filling in the table picks from that list instead of typing.

The steps here follow Apple's Numbers User Guide for Mac. That guide covers Numbers 15.4, which needs macOS 26 or later. Older versions may lay out the Format sidebar differently, so check your version in the Numbers menu before you follow every click.

What you need before you start

  • A Mac running macOS 26 or later if you use Numbers 15.4.
  • A Numbers spreadsheet with at least one table in it.
  • The cells you want to turn into the menu, selected or easy to select.
  • A short list of the items you want people to choose from.

Create the pop-up menu in a table column

Here is a simple case. You track task status in column B, with a short list: Not started, In progress, and Done. Type those values into B2, B3, and B4. Then select those cells and follow the steps below, because Apple's method turns the selected cells into the menu.

Edit the items and set the default

After you choose Pop-Up Menu, the list editor shows the items under the menu. Double-click an item to change its text. Click Add Item below the list to add one. Click an item, then click Delete Item, to remove it. Drag items up or down to reorder them.

The pop-up menu below the list sets the default. You can start with a blank cell or with the first item already selected. Test both settings on a copy of your file before you choose one.

The two default settings. Confirm the result in your own file.
Setting below the listWhat it doesPick it when
Start with BlankSets the menu's default state so that no item is chosen firstEvery row needs a deliberate choice
Start with First ItemSets the menu's default state to the first item in the listOne answer is usual and you want it pre-filled

Keep the list short when you can. A menu holds up to 250 items, and a long list is hard to scan in a narrow column.

How existing values fill the menu

When the selected cells already hold values, Numbers uses those values to fill the menu. Repeated values count as one item. A column with Done, Done, and In progress therefore becomes two items. Apple's notes say this works for up to 250 cells.

Empty cells work differently. Numbers puts placeholder items into the menu, such as Item 1. Those placeholders are easy to miss. Open the list editor and replace each one before you share the file, or your team will see Item 1 in the list.

Apple also warns about numbers. If a cell already holds a number and you format it, Numbers can read the value as a decimal. Apple's example is 3 becoming 300%. Check any numeric item after you apply the menu.

Pick a value with the keyboard

Once the menu exists, you can work from the keyboard. Select a cell that has the pop-up menu, then press Space bar to open its list. Use the arrow keys to move through the items. Press Return or Space bar to choose the highlighted one.

Apple's two pages do not match on one key. The guide says Space bar selects, while the shortcut page lists Return or Space bar. Test both in your file, and use the key that works on your version.

Keyboard shortcuts you can use

  • Open the pop-up menu in a selected cell: Space bar.
  • Choose the highlighted value: Return or Space bar.
  • Stop editing and select the cell: ⌘Return.
  • Move between cells: Tab for the next cell, ⇧Tab for the previous one.
  • Move down or up a row: Return for the cell below, ⇧Return for the cell above.
  • Hide or show the sidebar: ⌥⌘I. Apple lists it for the sidebar and does not name the Format sidebar.

Common mistakes that break the list

  • Skipping the selection. Nothing changes until the target cells are selected.
  • Leaving placeholder items. Item 1 and Item 2 stay in the list until you rename or delete them.
  • Typing values that look like dates. Apple says a value with a hyphen or slash may get a date format, so 2026-11 can turn into a date.
  • Going past 250 items. Numbers caps the menu there, so a long list needs another plan.
  • Deleting a custom format. Apple says cells that used it revert to Automatic formatting, so check those cells afterward.

Test before you share

Test the menu on a copy of the file first. Open each pop-up cell, pick every item, and confirm the value that lands in the cell is the one you expect. Then check numeric and date-like items. A few minutes of testing is cheaper than a round of corrections from your team.

Limits, iCloud, and version notes

The 250-item cap comes from Apple's pop-up menu page. A June 18, 2023 community thread reports the same limit. Replies there suggest keeping long lists on a separate sheet and looking them up with formulas. Those are user suggestions, not Apple guidance.

Apple's iCloud Numbers help page does not mention pop-up menus. The web app may therefore behave differently from the Mac app. If you share through iCloud, open the file in the browser and test the menu there before anyone depends on it.

Apple's What's new page describes Numbers 15.3 with sheet tab changes. Its 15.4 notes cover new functions, sharing requests, and a template collection. Neither lists a change to pop-up menus, so keep a test sheet when you update.

Where to go next

If the list values end up in an order you did not expect, sort a table in Numbers on Mac by column first. To show only the rows with one status, filter a table in Numbers on Mac instead.

If you want a separate list and a lookup formula, start with how to add a formula in Numbers on Mac. Then open Formulas and Functions Help to find the function name you need.

If it does not work

Items show Item 1, Item 2, Item 3 after an update
A Mac Forums thread describes this after an update. Enter your values in a spare column, select those cells, then choose Data Format > Pop-Up Menu again. The thread calls this a workaround, not a fix.
The menu stops at 250 items
Numbers caps a pop-up menu at 250 items. Move the long list to a separate sheet and use a lookup formula. Community answers describe this approach, and they are not Apple guidance.
A value turned into a percentage
Apple says formatting a cell that already holds a value can read the value as a decimal. Its example is 3 becoming 300%. Press ⌘Z to undo, then retype the value in a correctly formatted cell.
The Format sidebar is not showing
Press ⌥⌘I, which Apple lists as hide or show the sidebar. Apple's shortcut page does not name the Format sidebar, so confirm the Cell tab appears before you continue.
Space bar does nothing in the menu
Apple's guide says Space bar selects, and its shortcut page lists Return or Space bar. Try Return, then Space bar. Make sure the cell is selected and not in edit mode, and press ⌘Return to stop editing.

Questions people ask

Does Numbers have a drop-down list feature?

Yes, but Numbers calls it a Pop-Up Menu. You find it under the Data Format menu on the Cell tab of the Format sidebar. The result works like a drop-down list in other spreadsheet apps.

How many items can a Numbers drop-down hold?

Apple lists a limit of 250 items for one pop-up menu. For longer lists, community threads suggest a separate list and a lookup formula.

Can the second drop-down change based on the first?

Community threads say pop-up menus do not work that way, and Apple's pages do not confirm either way. Test it in your own file before you rely on it, and expect to use a formula if you need it.

Does the pop-up menu work in iCloud Numbers?

Apple's iCloud help page does not cover pop-up menus, so the steps may differ in the browser. Open the file on iCloud and test the menu before you share it.

Why does my list show Item 1, Item 2, and Item 3?

Numbers fills empty cells with placeholder items such as Item 1. After some updates, a Mac Forums user reported default items that replace their own values. Replace the placeholders in the list editor, then check the result.

Which Numbers version do these steps match?

Apple's current user guide covers Numbers 15.4, which needs macOS 26 or later. The pop-up steps do not name a version, so older releases may differ. Check the version under the Numbers menu.
