How to find and replace in Numbers on Mac: step by step, limits and fixes
To find and replace text in Numbers on Mac, press Command-F or click the View menu button in the toolbar and choose Show Find & Replace. Then click the pop-up left of the top field, choose Find & Replace, type what to find and what to put in its place, and click Replace All.

Quick answer
- Press Command-F, or click the View menu button in the toolbar and choose Show Find & Replace.
- Click the pop-up left of the top field, choose Find & Replace, then type what to find and what replaces it.
- Replace All changes every match. Replace & Find changes one and moves on. Replace changes only the selected match.
- Cells with formulas can't be replaced. A blank replacement field deletes every match.
- Numbers for iCloud has Replace but no Replace All. Numbers is free without a subscription.
What you need
- Numbers on a Mac, with the file open and editable
- A spreadsheet you can edit, not a shared View Only sheet
- For Numbers 15.4, macOS 26 or later
How to Find and replace text in a Numbers spreadsheet on Mac in Numbers on a Mac
Open your spreadsheet in Numbers
Open the file in the Numbers app and make sure you can edit it. Find & Replace works on the open file. It searches every sheet, so you do not need to visit each one first.
Tip: A shared sheet set to View Only lets you search but not replace.
Open the Find & Replace panel
⌘F
Click the View menu button in the toolbar, then choose Show Find & Replace. The search bar appears. You can also press Command-F to open it directly.
Tip: Command-F is the only keyboard shortcut Apple documents for this panel.
Switch the pop-up to Find & Replace
Click the pop-up menu left of the top field and choose Find & Replace. The top field holds what you want to find. The bottom field holds what it should become.
Tip: If you do not see a bottom field, check that the pop-up says Find & Replace.
Type the text to find
Click the top field and type the text you want to find. Numbers counts the matches and highlights the first one in yellow. Read the count before you change anything.
Tip: Search for the text as it appears on screen, not the stored value.
Type the replacement text
Click the bottom field and type the new text. Leave it empty only if you want to delete every match. Apple warns that a blank field deletes all instances of the found text.
Tip: Check the spelling in the bottom field. A typo there spreads with Replace All.
Choose Replace All, Replace & Find, or Replace
Replace All changes every match. Replace & Find changes the current match, then moves to the next. Replace changes only the match you have selected. Use the left and right arrows to move between matches without changing anything.
Tip: If you are unsure, step through the matches with the arrows first.
Narrow the results if needed
Click the pop-up menu left of the search field and choose Whole Words, Match Case, or both. Use the arrows to move to the previous or next match. Then choose your replace action.
Tip: Whole Words stops a search for cat from matching category.
Check the result and undo if needed
⌘Z
Click a few of the changed cells and read them. Check any totals that depend on them. If the result is wrong, press Command-Z or choose Edit > Undo right away.
Tip: Undo works best immediately after the change, so run your checks right away.
Open Find & Replace in Numbers on Mac
Apple's Mac guide tells you to click the View menu button in the toolbar, then choose Show Find & Replace. That is the route to remember. You can also press Command-F, which is the only keyboard shortcut Apple documents for this panel. Both routes open the same search bar, so pick whichever you find faster.
Open the file before you start. Find & Replace works on the file in front of you. It searches visible text in tables, text boxes, shapes, and comments on every sheet. One search can reach a note on a later sheet as easily as a total on the first. Keep that in mind before you click Replace All.

Before you replace anything
Save a copy of the file under a new name before you run a bulk change. Undo helps right after a replace. A copy protects you once you have closed the file or moved on to other edits.
Look at the sheet before you search. Read the headers, the totals, and any notes that might hold the same words. Find & Replace reaches all of them. That is useful when you want a change everywhere, and risky when you only meant one table. Decide which places should change, then search for the text.
Find and replace text step by step
Work through these steps in order. They describe the Mac app, not Numbers for iCloud. The web version has fewer controls, and it gets its own section below.
What each replace button does
Numbers gives you a few ways to move through matches and change them. Choose the one that fits the risk. A single click on Replace All can change a word in every table on every sheet, so start small when you are new to this.
| Action | Control to use | What it does |
|---|---|---|
| Change every match | Replace All | Changes every match the search finds |
| Change one and move on | Replace & Find | Changes the current match, then selects the next |
| Change only the selected match | Replace | Changes the match you have selected and nothing else |
| Move without changing | Left and right arrows | Steps through matches and changes nothing |
| Delete every match | Blank replacement field | Deletes all instances of the found text, Apple warns |
Use Replace & Find for the first pass on an unfamiliar sheet. You see each change happen, and you can stop at any point. Once you trust the pattern, Replace All saves time on long sheets.
Narrow the search with Whole Words and Match Case
Click the pop-up menu to the left of the search field. It offers Whole Words, Match Case, or both. Whole Words stops a search for cat from matching category. Match Case treats Cat and cat as different. The arrows beside the field move to the previous or next match, so you can check each hit before you change it.
A worked example: changing a year across a budget sheet
Say a budget sheet has an old year in its title, its column headers, and a few notes. You want all of them to read the new year. Open Find & Replace, set the pop-up to Find & Replace, and type the old year in the top field. Numbers shows the match count and highlights the first match in yellow.
Type the new year in the bottom field. Read the count before you touch anything. If a total shows the old year through a formula, you cannot replace text in that cell. Change the cells the formula reads from, or edit the formula. When the count looks right, click Replace All and check a few cells by hand.
The example skips two things on purpose. It does not ask you to visit each sheet, because the search already covers them. It also does not assume every total will look right, because formulas decide that. Check the totals after every bulk change.
Why a search may miss a number you can see
Numbers matches the value you see on screen, not the value stored in the cell. Apple gives a clear example. Searching for 0.5 will not find a cell that shows 1/2. Search for the text as it appears on screen, and you get what you expect.
The reverse matters more. Replacing a value in a cell also changes its underlying value. Apple's example turns a cell that shows 1/2 into 1/3, and the stored decimal moves from 0.5 to 0.333333. Any formula that reads that cell recalculates. Before you replace a number, list the totals that depend on it.

Can you replace text in one cell or column only?
Apple's Mac guide does not say whether a search can be limited to a selected range. The guide does not promise that you can. A 2021 Apple Community reply says Replace All does not limit itself to a selected cell. That reply is old, so treat it as a warning, not a rule for your version.
The workaround in that thread is simple. Select the one cell, press Command-F, and use Replace, not Replace All. Wildcards are not supported, so you cannot type a pattern that matches a group of words. You need the exact text each time.
The same thread mentions Automator Quick Action scripts that worked on older versions. Those broke in Numbers 11.2 on Big Sur, and the thread closed without an official Apple fix. Do not build a script on that advice without testing it on a copy of your file.
If you need a selection-only change across many cells, work on a duplicate sheet first. Check the result. Then copy the good values back by hand, or rebuild the cells, whichever is less work for your file.
Numbers for iCloud works differently
The web version uses similar names but fewer controls. In a browser, click View in the toolbar and choose Show Find & Replace. On a Mac, press Command-F. On a Windows device, press Control-F. The panel behaves differently from the Mac app, so read the list below before you start.
- Settings button: click the Settings button left of the Find field, then choose Find & Replace to show the Replace field.
- Replace: changes one highlighted match at a time.
- No Replace All: Apple's iCloud page describes no bulk option.
- View Only: a shared sheet shows a Find button, so you can search but not replace.
- Blank field: leaving Replace empty deletes every instance of the found text. Undo and Redo are in the toolbar.
If you do most of your work on a Mac, learn the Mac steps first. Use the web version when you are away from your Mac and need one change quickly. Test with one match before you move on.
Fix greyed-out buttons and a Replace All that does nothing
One Apple Community thread reports the Find & Replace buttons greyed out. Users reported it between 2023 and 2024. Replies suggested selecting the right column, updating to macOS 14.2.1, and removing hyperlinks. None of these was confirmed for all users, and the thread was closed.
One user on macOS 14.2.1 said search and navigation worked, but Replace All and Replace & Find did nothing. The update did not fix it for them. If you hit this, replace one match at a time, check that the file is not View Only, and report the problem to Apple.
Automatic replacement is a separate feature
Numbers also has automatic text replacement. It swaps text as you type, and it sits in Numbers > Settings > Auto-Correction > Symbol and text substitution. It applies only in Numbers. It does not change existing text on its own, so a sheet you have already typed stays as it is.
Apple's substitutions page covers existing text. Open Edit > Substitutions > Show Substitutions, select Text Replacement, and click Replace All to change existing occurrences. The keyboard text-replacement list is a separate thing. On macOS Ventura 13 or later, it lives under Keyboard settings > Text Input > Text Replacements.
Which Numbers version and macOS do you need?
Apple's What's new page lists Numbers 15.4 as requiring macOS 26 or later. It lists Numbers 15.1 as the release that introduced Apple Creator Studio. No entry on that page describes a change to find and replace or to keyboard shortcuts.
The Mac guide itself names no version. So check the menu names on your screen before you follow the steps. If a menu name differs, trust your screen and check Apple's guide for your version. The old Numbers Mac app was updated to 14.5 only to say it gets no new features. MacRumors reported that, and this detail rests on that one secondary source.

Find and replace text in Numbers on Mac (Apple Support)Do you need to pay for Find & Replace?
No. Numbers is free, and Apple says you do not need a subscription to create, view, edit, or collaborate on spreadsheets. Find & Replace is part of that free app. You do not need to upgrade for it.
Apple Creator Studio is a separate paid bundle. It costs $12.99 per month or $129 per year in the US. New subscribers get a one-month free trial. Creator Studio subscribers also get a 4GB iCloud collaboration file size limit. Skip it if your only goal is find and replace.
Mistakes that cost people a sheet
- Leaving the replacement field blank. Apple warns that this deletes every instance of the found text.
- Clicking Replace All before reading the match count. Read the count first, every time.
- Expecting a formula cell to change. Those cells can't be replaced, so edit the formula or its inputs.
- Searching for the stored value instead of what you see. Matching uses the displayed value.
- Assuming Replace All stays inside a selection. Apple's guide does not say it does.
Most of these come from speed. Slow down at the match count. Read the first two or three highlighted cells before you commit to a bulk change. That short pause catches most mistakes.
Undo a bad replace and check the result
Undo is your first safety net. Press Command-Z right after a bad replace, or choose Edit > Undo. Numbers for iCloud also has Undo in its toolbar. If you have already closed the file or made other edits, open the copy you saved before the change and compare.

Next steps after the text is right
Once the text is right, check the formulas that depend on it. The guide to adding a formula to a cell in Numbers on Mac covers the cells you may need to edit. For the app's shortcuts, read how to use keyboard shortcuts in Numbers on Mac.

| To do this | Press |

If it does not work
- Find & Replace buttons are greyed out
- Apple Community replies suggest selecting the right column, updating to macOS 14.2.1, or removing hyperlinks. None was confirmed for all users, so try one fix at a time and check the result after each.
- Replace All does nothing
- One user on macOS 14.2.1 reported the same problem after updating. Replace one match at a time with Replace. Confirm the sheet is not View Only, and report the bug to Apple if it persists.
- A cell still shows the old text
- The cell probably holds a formula, and Numbers can't replace text in formula cells. Edit the formula, or change the input cells it reads from.
- A search finds nothing for a number
- Numbers matches the displayed value. Search for the text you see. Searching 0.5 will not find a cell that shows 1/2, so search for 1/2.
- Other totals changed after a replace
- Replacing a value changes its underlying value, so formulas that read it recalculate. Apple's example turns 0.5 into 0.333333. Undo, then check each total that depends on the cell.

Questions people ask
What is the shortcut for Find and Replace in Numbers on Mac?
Command-F opens Find & Replace in the Mac app. Apple's Mac guide documents it as the only keyboard shortcut for this panel. If the shortcut does nothing, use View > Show Find & Replace from the toolbar instead.
Can I replace text in one column only?
Apple does not document a way to limit a replace to a selected range. A 2021 Apple Community reply says Replace All ignores the selection. Work on a duplicate sheet, or replace one match at a time with Replace.
Why won't Numbers replace text in some cells?
Cells that contain formulas can't be replaced. Search still finds matching formula results, so the match shows up, but you cannot change it there. Edit the formula or the cells it reads from.
Is Find and Replace free in Numbers?
Yes. Numbers is free without a subscription, and Apple says you do not need Creator Studio to create, view, edit, or collaborate on spreadsheets. Creator Studio costs $12.99 per month or $129 per year in the US.
Does Numbers for iCloud have Replace All?
No. Apple's iCloud guide describes Replace, which changes one highlighted match at a time, and it describes no bulk option. Shared sheets set to View Only can search but cannot replace anything.
What is the difference between Find and Replace and automatic text replacement?
Find & Replace changes the text you choose, when you run it. Automatic replacement is set in Numbers > Settings > Auto-Correction > Symbol and text substitution, and it applies only in Numbers.
