How to insert a checkbox in Google Docs on Mac: browser steps and shortcuts
To insert a checkbox in Google Docs on Mac, click the Checklist button on the toolbar, or press ⌘ ⇧ 9 on the line where you want it. You can also type two square brackets with no space, [], then press Space to start a checkbox.
Quick answer
- Click the Checklist button on the toolbar, or press ⌘ ⇧ 9 on the line you want.
- Or type [] with no space between the brackets, then press Space.
- To turn a bulleted or numbered list into checkboxes, use Format > Bullets & numbering > Checklist.
- To remove a checkbox, press Backspace just right of it, or click the Checklist button again.
- If the button is missing, click More, the three vertical dots, and look again.
What you need
- A Mac with a web browser and Google Docs open
- Edit access to the document you want to change
- For offline editing: Chrome or Edge, not a private browsing window
How to Insert a checkbox in Google Docs on a Mac in Google Docs on a Mac
Place the cursor on a blank line
Click the empty line where the checkbox should go. The checkbox appears on the line that holds the cursor, so click carefully. Leave the cursor there for the next step.
Click the Checklist button
Find the Checklist button on the toolbar, just left of the bulleted list button. Click it once. A checkbox appears at the cursor, and you can type your text beside it.
Tip: If you cannot see the button, click More, the three vertical dots, and look again.
Or press the shortcut
⌘⇧ 9
Press Command, Shift and 9 together to make the current line a checklist line. The shortcut works without touching the mouse.
Tip: On Windows or Chrome OS, the same shortcut uses Ctrl, Shift and 9.
Type the first item
Type the text for the first item beside the box. Keep each item short, with one task per line, so the list is easy to scan.
Press Enter for the next box
Enter
Press Enter at the end of a line to add the next checkbox. Repeat until the list is done.
Pick strikethrough or plain style
To convert a list you already wrote, click one of its lines. Then choose Format > Bullets & numbering > Checklist. Pick the style without strike-through if you want plain text.
Tip: The strike-through style draws a line through the item text.
Remove a checkbox
Backspace
Place the cursor just right of the box and press Backspace. You can also click the Checklist button while the cursor is on that line.
Insert a checkbox with the Checklist button
The Checklist button is the quickest route on a Mac. Google Docs runs in your web browser, not as a separate Mac app. Google's help pages describe the browser version, and the steps below follow that. Click the empty line where the box should go, then look at the toolbar.
On the toolbar, the Checklist button sits just left of the bulleted list button. Zapier's guide notes a small caret to its right. That caret opens more formatting options for the checklist. Click the button once, and a checkbox appears at the cursor. Type your text beside it.

Checklist shortcut on Mac: ⌘ ⇧ 9
Press ⌘ ⇧ 9 to turn the current line into a checklist line. Command is ⌘, Shift is ⇧, and the 9 sits on the number row. Google's keyboard shortcuts page lists this combination for Mac. Windows and Chrome OS use Ctrl, Shift and 9 for the same job.
If you write with the keyboard most of the time, this is the one to learn. You keep your hands on the keys and skip the toolbar entirely.
Type [] to make a checkbox without the toolbar
Typing works well when your hands stay on the keyboard. Type two square brackets with no space between them, [], then press Space. A checkbox replaces the brackets and appears on the line. Zapier's guide describes this method.
The brackets have to touch. Zapier says the two brackets need no space between them, so keep them together. After the first checkbox, press Enter at the end of each line. Each Enter gives you the next box, so you can type a whole list without the toolbar.
Compare the four ways to start a checklist
| Method | Start with | Best for |
|---|---|---|
| Checklist button | Toolbar, just left of the bulleted list button | Mouse users who want a visible button |
| Keyboard shortcut | ⌘ ⇧ 9 | Typing without leaving the keyboard |
| Typed brackets | [] then Space | Quick lists while you type |
| Format menu | Format > Bullets & numbering > Checklist | Turning an existing list into checkboxes |
Use the Format menu when the lines already exist. Use the other three methods on a blank line, and choose whichever keeps your hands where they are.
Worked example: a packing list from scratch
Say you are writing a packing list for a short trip. Start on a blank line and type [] then Space. Type passport, then press Enter. A second box appears, so type charger next. Keep going until every item has a box beside it.
When you finish, check the list for stray boxes. An empty box at the end is an easy leftover. Press Backspace just right of it to remove it. Then the list is clean and ready to print or share.
Turn an existing list into checkboxes
Say you already have a bulleted list. You do not need to retype it. Click any line in the list first. Then go to Format > Bullets & numbering and choose Checklist. Google's help page describes this path for bullets, numbers and checkboxes.
- Click any line in the bulleted or numbered list.
- Open Format > Bullets & numbering.
- Choose Checklist, then pick the style you want.
The converted list keeps the same items and order. Only the marker changes from a bullet to a checkbox.
Choose checkboxes with or without strikethrough
Google's checklist option lets you create a checklist with or without strike-through. The strike-through style draws a line through the item text. The plain style leaves the text as it is. If your team reads the list on screen and needs every word clear, choose the plain style.
Zapier's guide also suggests the non-strikethrough option if you want to avoid the line. Pick the style before you type a long list, so you do not have to redo it.
Add more checkboxes and remove the ones you do not need
Press Enter at the end of a checkbox line to add the next box. If you press Enter on a box you do not need, you get an extra empty box. Place the cursor just right of that box and press Backspace. You can also click the Checklist button while the cursor sits on that line.
Backspace removes the box marker. If you want the words beside it gone too, select them and delete them as normal text.
Fix it when the Checklist button is missing
The button is sometimes not where you expect it. Google's help says to click More if you cannot find it. In Zapier's guide, More appears as three vertical dots. Click it, then look for the checklist option again.
If the button still does not show, use the Format menu route or the ⌘ ⇧ 9 shortcut. Both give you a checklist without the toolbar.
Common mistakes with checkboxes in Google Docs
- Putting a space inside the brackets. Zapier says the brackets need no space between them.
- Using bullets and expecting a box. Bullets and checkboxes are separate list types in Google's menu.
- Leaving an empty box at the end. Place the cursor right of it and press Backspace.
- Getting strikethrough when you wanted plain text. Use the non-strikethrough style from the Checklist options.
- Looking for the checklist option after the toolbar hides it. Click More first.
Most problems come from one of these five habits. Check the list above before you look for a bigger fix.
Make checkboxes available offline on a Mac
Offline editing needs Chrome or Edge, and it does not work in a private browsing window. Install the Google Docs Offline extension from the Chrome Web Store. Edge users are sent to the Chrome Web Store to add it. Then turn on the Offline setting in Google Drive settings.
Open the document, then choose File > Make available offline. A check mark appears when the file is saved for offline use. Do this while you still have a connection, not after you lose it.

Assign checkboxes as Google Tasks
Zapier's guide says assigning a checkbox as a Google Task needs a paid Google Workspace plan. The guide ties that requirement to tasks, not to making a checklist. Without a paid plan, you can still make checkboxes. Task assignment is the part that needs the plan.
What the official pages do and do not confirm
Google's help pages show no version numbers for this feature. The steps here follow the browser version as the help pages describe it. Zapier's checkbox guide was first published in May 2024 and last updated in September 2025. Check that date before you trust older screenshots.
Some guides mention an Insert menu option for checkboxes. Google's help pages do not confirm it, so this page does not rely on it. If your Insert menu shows one, test it on a spare line before you use it on a real document.
Keyboard shortcuts for lists on Mac
- ⌘ ⇧ 9 starts a checklist.
- ⌘ ⇧ 8 starts a bulleted list.
- ⌘ ⇧ 7 starts a numbered list.
- ⌘ / shows the full list of Google Docs shortcuts.
The three list shortcuts sit on neighboring number keys. Learn them as a group, and you can switch list types without the toolbar.
Where checkboxes help in real documents
Checkboxes suit packing lists, review checklists and action items at the end of meeting notes. Use a numbered list when order matters. Use a checklist when each item is either done or not done. Use bullets when the items do not need ticking off.

A grant report might need a final checklist before submission. A training outline might need a box beside each module. The steps stay the same in both cases, so you only decide the layout.
Where to go next
If your checklist sits inside a longer document, add structure next. The table of contents guide shows how to list each section. For steps that need numbers next to your boxes, read the numbered list guide.
If you prefer to dictate your checklist, the voice typing guide covers that route.
Google Docs shortcuts for this on Mac
| To do this | Press |
|---|---|
| Checklist | ⌘⇧ 9 |
| Bulleted list | ⌘⇧ 8 |
| Numbered list | ⌘⇧ 7 |
| Show all Google Docs shortcuts | ⌘ / |
| Remove a checkbox (cursor just right of it) | Backspace |
If it does not work
- The Checklist button is not on the toolbar
- Click More, the three vertical dots, and look for the checklist option again. If it still does not show, use Format > Bullets & numbering > Checklist on an existing list.
- Pressing ⌘ ⇧ 9 does nothing
- Click inside the document body first, so the cursor sits in the text and not in the title or a menu. Then try the Checklist button on the toolbar.
- Typing [] does not make a checkbox
- Remove any space between the brackets, then type them again and press Space right after. Zapier's guide says the brackets need no space between them.
- My checklist text is crossed out
- Open Format > Bullets & numbering > Checklist and choose the style without strike-through. Google's help says checklists come with or without strike-through.
- An empty checkbox keeps appearing
- Place the cursor just right of the empty box and press Backspace. You can also click the Checklist button while the cursor is on that line.
- I cannot see a Tasks option for my checkboxes
- Zapier's guide says assigning checkboxes as Google Tasks needs a paid Google Workspace plan. Check your account plan before you look again.
