How to insert a footnote in Google Docs on Mac: step by step for 2026
To insert a footnote in Google Docs on Mac, click in the text where the number should go, then press ⌘ Option F. Docs adds a raised number at that spot and opens the note at the bottom of the page, where you type the footnote text.

Quick answer
- Click in the body text right after the word or punctuation the note supports.
- Press ⌘ Option F, or go to Insert > Page elements > Footnote.
- Type the note at the bottom of the page. Docs numbers it for you.
- To delete a note, click right after its number and press Backspace.
- If Footnote is greyed out, switch from Viewing to Editing or ask for edit access.
What you need
- A Google Doc you can edit, with Editor or Owner access
- Google Docs open in a browser tab on your Mac
- The text cursor placed right after the word or punctuation the note supports
How to Insert a footnote in Google Docs on a Mac in Google Docs on a Mac
Place the cursor in the text
Click in the body text where the footnote number should sit. Put the cursor after the punctuation mark that ends the sentence the note supports. Clicking in the middle of a word puts the number in the wrong place.
Tip: Click once, then look at the blinking cursor before you press anything.
Press the footnote shortcut
⌘ Option F
Hold Command and Option, then press F. A small raised number appears at the cursor. The note area opens at the bottom of the page. Google's keyboard shortcut page lists this command for Mac.
Tip: On Windows or Chromebook the same command is Ctrl Alt F.
Or use the Insert menu
If the shortcut does nothing, use the menu. Click Insert in the Docs menus. Choose Page elements, then choose Footnote. Google's official help page gives this path.
Tip: Some older guides show Insert > Footnote with no Page elements step. Check your own menu.
Type the note at the bottom of the page
Type your footnote text in the box at the bottom of the page. Keep the note short and specific. When you finish, click back into the body text to keep writing.
Tip: Write the full source the first time you cite it.
Check the numbers
Docs numbers footnotes in the order they appear. Adding or deleting a note renumbers the rest. You cannot type numbers by hand or change the number style. Scroll through and read each number after a big edit.
Preview before you print or export
Export a PDF or print a test copy before you send the file. Footnotes can be misplaced or missing in printed or PDF output. Read every page that has a note.
Tip: Open the exported file, not the Docs preview, and check each note.
Footnotes do one job well. They hold a source, a side note, or a definition, so the main sentence stays clean. This guide shows you how to add one in Google Docs on a Mac, how to fix the numbering, and how to avoid the mistakes that show up only in the final copy.
What you need before you insert a footnote
You need a Google Doc that you can edit. Open it in a browser tab on your Mac. Google Docs runs in the browser, not as a separate program, so the Docs menus such as Insert sit in the bar under the document title.
Check your access before you start. If Footnote is greyed out, you are probably in Viewing mode or have view-only access. You can switch to Editing from the pencil menu, or ask the owner of the document for edit access.
Decide which format you use. Google Docs has Pages format and pageless format. The layout changes where footnotes appear, and it changes whether headers and page numbers are available. We cover both later in this guide.
Insert a footnote with ⌘ Option F
The fastest method is the keyboard. Click in the body text right after the word or punctuation mark your note supports. Hold Command and Option together, then press F. Docs places a small raised number in your text and opens the note area at the bottom of the page.
Google's keyboard shortcut page lists this command for Mac as ⌘ Option F. On Windows and Chromebook, the same command is Ctrl Alt F. If nothing happens when you press the keys, use the menu path in the next section.
Here is a worked example. Say your sentence reads: Sales rose in the third quarter. Click right after the period, press ⌘ Option F, and type: Source: internal sales report, March. Docs places a raised number after the period, and the note appears at the bottom of the page.
Insert a footnote from the Insert menu
Google's official help page gives the menu path as Insert > Page elements > Footnote. Click Insert in the Docs menus. Choose Page elements, then choose Footnote. The number appears at the cursor, and the note box opens at the bottom of the page.
Some older guides show a plain Insert > Footnote item with no Page elements step. SpreadsheetPoint's guide, dated December 21, 2023, describes it that way. The official help page has no date that shows when the menu changed, so check the menu on your own screen.
Tool finder is a fast way to search for a menu item. On a Mac, press Option /, type footnote, and choose the result. Google's keyboard shortcut page lists Option / as the Tool finder shortcut on Mac.

Write the note and check the numbering
Type your note in the box at the bottom of the page. Keep it short and specific. Long notes take up space on the page, and they push the body text toward the next page. Click back into the body text when you finish.
Docs numbers footnotes for you. The numbers follow the order they appear in the text. When you add or delete a note, the later notes renumber. You cannot change the number style, restart the count, or type a number by hand.
Suppose you add a new note before note 2. The old note 2 becomes note 3, and the note text moves with it. That is the behavior you want, but it means you must read the numbers again after any insert.
After a big edit, scroll from the top and read each number. Check that each note still matches the sentence it supports. Moving a paragraph can put a number next to the wrong idea, and that error is easy to miss.
- Read the notes in order, from the first number to the last.
- Check that each note supports the sentence next to its number.
- Confirm that no note is empty.
- Recheck the numbers after you move or cut any paragraph.
Delete a footnote without leaving an empty note
To delete a footnote, click in the body text right after its number. Press Backspace once. The number and its note go together. Deckoholic's footnote guide describes this method, and Guiding Tech says the same about the number in the text.
Do not delete only the note text. If you clear the words at the bottom of the page and leave the number in the body, Docs keeps an empty footnote. That error looks fine on screen, then shows up as a stray number in the final copy.
Ask Lazur where the footnote command is
If you cannot find Footnote, ask Lazur. Hold Option and Command (⌥ ⌘), then ask where the command is. Lazur looks at your screen only while you hold the keys. It draws a circle and a label around the menu item, then answers out loud.
For a full walk through, ask Lazur to guide you. It points at one click at a time and waits for each click before it moves on. You still make every click yourself. Lazur does not click buttons for you.
Pages format and pageless format
Google Docs has two layouts. Pages format shows page breaks, and it supports headers, footers, and page numbers. Pageless format shows one continuous document with no page breaks.
To switch layouts, go to File > Page setup. Choose Pages or Pageless, then click OK. Deckoholic's guide describes this path. Make the switch before you add notes if you can, so you see the final layout while you work.
Footnotes behave differently in pageless format. Google's help page says that all footnotes appear together at the end of the document. Headers, footers, and page numbers are not available there. If your school or employer needs page numbers, use Pages format.
If you need page numbers after you add footnotes, follow the steps in how to add page numbers in Google Docs on Mac. That guide covers Pages format setup in more detail.
Change where footnotes appear on the page
SpreadsheetPoint says you can change placement from the three-dot menu inside the footnote box. The options it lists are Bottom of page, End of document, and Below text. The official help page we checked does not describe these options, so treat them as a guide to verify.
Pick the placement that suits the document. Academic papers often use Bottom of page. Long reports may read better with notes at the end. Open the three-dot menu, make the change, and then check the page again.
Footnotes in print and PDF output
A footnote that looks right on screen can move when you export. Trupeer's guide, published November 6, 2026, warns that footnotes may be misplaced or missing in printed or PDF output. It also says the numbers may need a manual check after edits.
Before you send a file, export a test copy as PDF or print one page set. Read every page that has a note. Do not rely on the preview inside Docs alone. Open the exported file itself and check it.
- Export or print a test copy.
- Open the exported file, not the browser preview.
- Find every footnote number and read its note.
- Fix any missing or misplaced note in Docs, then export again.

Common mistakes people make
- Clicking in the middle of a word. Put the cursor after the punctuation the note supports.
- Deleting the note text and leaving the number in the body.
- Typing numbers by hand. Docs does not let you type footnote numbers.
- Working in Viewing mode, then wondering why Footnote is greyed out.
- Expecting headers and page numbers in pageless format.
- Sending a file without checking the export.
Most of these mistakes come from mixing up the text and the note. The number belongs to the body. The note belongs to the box at the bottom. Keep those two places in your head, and most problems stop.
| Method | Keys or menu path | Use it when |
|---|---|---|
| Keyboard | ⌘ Option F | The cursor is in the text and you know the shortcut |
| Insert menu | Insert > Page elements > Footnote | The shortcut does nothing, or you want to see the path |
| Tool finder | Option /, then type footnote | You cannot find the menu item |
Working offline with footnotes
Google Docs can run offline, but only in Google Chrome or Microsoft Edge. Google's offline help page says you need the Google Docs Offline extension. Private browsing is not allowed.
Safari is not on that list. Google's offline page does not cover offline use in Safari, so do not plan a flight around it. If you write on a train, set up offline access in Chrome or Edge before you leave.
When you reconnect, reread the footnotes before you share the file. Offline edits are a good place for a mistake, so take a minute to check the numbers and the notes.

When a footnote fits better than a parenthesis
Use a footnote for a source, a side note, or a short definition that would break the flow of the sentence. Keep the main argument in the body text. A reader should understand the point without reading the note.
Use a parenthesis for a short aside that the reader must see. Use a footnote when the detail matters to some readers but not all of them. Students, editors, and reviewers all use footnotes this way.
Check the document before you share it
Share the file after that check. If an editor reports a missing note, the export is the first place to look, because footnotes can move in print and PDF output.
What to do next
Once footnotes work, a long report may need a table of contents. How to add a table of contents in Google Docs on Mac covers that step. It works well with footnotes because the headings stay in place.

| Delete a footnote (click after its number first) | Backspace |
If it does not work
- Footnote is greyed out in the menu
- You are probably in Viewing mode or have view-only access. Open the pencil menu and switch to Editing. If you still cannot edit, ask the owner for edit access.
- The shortcut does nothing
- Use Insert > Page elements > Footnote instead. You can also press Option / and type footnote in Tool finder. A keyboard setting or another tool may block the shortcut.
- A note has no text but still shows a number
- Click right after the number in the body text and press Backspace. Deleting only the note text leaves the empty footnote in place.
- Footnote numbers look out of order
- Scroll from the top and read each number in sequence. Check each note against the sentence it supports, then export a test copy to confirm.
- Headers, footers, or page numbers are missing
- You are probably in pageless format. Go to File > Page setup, choose Pages, and click OK. Pageless format hides those options.
- A footnote is missing from the printed or PDF copy
- Export again and check every page that has a note. Trupeer's guide warns that footnotes can be misplaced or missing in printed or PDF output, so do not trust one preview.

Questions people ask
Is there a Google Docs app for Mac?
Google Docs runs in a browser tab on your Mac. The steps in this guide use that browser version. Offline editing works only in Google Chrome or Microsoft Edge, and it needs the Google Docs Offline extension.
What is the Mac shortcut for a footnote in Google Docs?
It is ⌘ Option F. Google's keyboard shortcut page lists it for Mac. On Windows and Chromebook the shortcut is Ctrl Alt F. If it does nothing, use Insert > Page elements > Footnote.
Why is Footnote greyed out in Google Docs?
A greyed-out Footnote usually means you are in Viewing mode or have view-only access. Switch to Editing from the pencil menu. If you cannot, ask the document owner for edit access.
How do I delete a footnote without leaving a number behind?
Click in the body text right after the footnote number, then press Backspace. Deleting only the note text leaves an empty footnote in place.
Can I change footnote numbers to letters or symbols?
No. Docs numbers footnotes automatically. You cannot change the number style, restart the count, or type numbers by hand.
Can I move footnotes to the end of the document?
SpreadsheetPoint's guide says you can. Open the three-dot menu in the footnote box and pick Bottom of page, End of document, or Below text. That guide is dated December 21, 2023, so check the options on your own screen.
Why do my footnotes all sit at the end in pageless format?
Google's help page says that in pageless format all footnotes appear together at the end of the document. Headers, footers, and page numbers are not available there. Switch to Pages format under File > Page setup if you need them.
Will Lazur insert the footnote for me?
No. Lazur points at the menu item, explains what it does, and guides you one click at a time. It does not click buttons or operate Google Docs for you.
