How to Insert an image into a Numbers sheet on Mac in Numbers on a Mac

  1. Open the sheet

Open the Numbers spreadsheet you want to change. Go to the sheet where the image should appear. Click the sheet tab first if your file has several.

  2. Click Insert Media

    ToolbarInsert Media

Look at the toolbar at the top of the Numbers window. Click Insert Media. A menu opens with choices for new media, such as photos.

  3. Choose Photos or Videos

    Insert MediaChoose Photos or Videos

In the Insert Media menu, choose Photos or Videos. A file picker opens on your Mac. Browse to the folder that holds your image.

  4. Select your image

Click the image file so it is selected. Apple's guide documents Shift-click for choosing several images. Numbers then places the picture on the sheet.

Tip: Shift-click selects several images in one go.

  5. Move the image into place

Drag the image to where you want it on the sheet. If you dropped it into a media placeholder, the picture sits inside that box.

  6. Or drag an image in

Open a Finder window beside Numbers. Drag an image file onto a media placeholder or anywhere else on the sheet. Apple's guide documents this route.

Tip: The same works for an image you drag from a webpage.

  7. Replace an image

    Format sidebarImageReplace

Select the image you want to swap. Open the Format sidebar and click the Image tab. Click Replace, then choose the new file.

Tip: The new image keeps the dimensions of the original.

  8. Or use Replace Image

On a media placeholder, click Replace Image in the bottom-right corner. Double-click the new file to swap it in.

Tip: If Replace is missing, the image may be locked or grouped.

Insert an image with the Insert Media button

The Insert Media button is the main way to add a picture in Numbers on Mac. It sits in the toolbar at the top of the window. Click it and a menu opens with several sources. For a file already on your Mac, choose Photos or Videos. A file picker opens. Browse to your image, select it, and Numbers puts it on the sheet. Apple's Mac guide describes these steps for Numbers 15.4. The App Store lists version 15.4.2, and it needs macOS 26.0 or later. If your steps look different, check your version first.

Drag an image onto the sheet from the Finder or a browser

Dragging is often quicker than the menu. Open a Finder window next to Numbers. Drag an image file from the Finder onto the sheet. You can do the same with a picture on a webpage. Apple's guide says you can drop the image onto a media placeholder or anywhere else on the sheet. Some templates include media placeholders, which are empty boxes for pictures. Drop the file on a placeholder when you want it in a specific box. Drop it on empty space when you only need the picture on the page. Check the image before you drop it, especially on a website. The picture you see is the one you get.

Compare the three ways to add an image

The three Mac routes Apple documents for adding an image.
MethodWhere you startBest for
Insert Media, then Choose Photos or VideosToolbar at the top of the windowA file already saved on your Mac
Drag from the FinderA Finder window beside NumbersFiles in a folder you already have open
Drag from a webpageA browser window beside NumbersA picture you can see online

The table covers the three routes. Pick the one that matches where your picture lives. Most people use the toolbar for files in Pictures or Downloads. Dragging wins when a Finder window is already open. Dragging from a browser skips the download step. Still, make sure you have the right picture before you drop it.

Replace an image without changing its size

Sometimes you need a new picture in the same spot. You do not need to delete the old one first. Select the image on the sheet. Open the Format sidebar and click the Image tab at the top. Click Replace and choose the new file. Apple's guide says the new image keeps the dimensions of the original. That matters when a layout depends on a fixed size. The new picture takes the old one's place.

There is a second route when the image sits in a media placeholder. Click Replace Image in the bottom-right corner of the placeholder. Double-click the file you want. Both routes end in the same result. Use whichever one you find first. If neither option appears, the image may be locked or grouped. Apple's guide says that, but it does not explain how to release the image or ungroup it. Click the image and look at it closely before you try again.

What else the Insert Media menu offers

Insert Media does more than pick files. Under your device name, you may see Take Photo or Scan Documents. That option works with a nearby iPhone or iPad. Generate Image needs an Apple Creator Studio subscription. Content Hub offers premium images. Removing watermarks from those images needs a subscription too. Image Playground appears after you Control-click an image and choose Add to Playground. Your menu may show fewer items if a feature is not available to you. Apple's guide notes that Image Generation is not available in all countries, regions, or age groups.

Introducing Apple Creator Studio: Apple Newsroom

Creator Studio costs money, but adding a photo does not

Only some options need a paid plan. Apple Creator Studio costs $12.99 per month or $129 per year in the US. New subscribers get a one-month free trial. Keynote, Pages, Numbers, and Freeform stay free to create, edit, and collaborate. So you do not need a subscription to add a photo from your Mac. You need one for Generate Image, Content Hub access, and the extra templates and themes. To see your Image Generation status, go to Numbers > Intelligence Features > Show Usage Status. Apple does not publish a quota in its guide, so that menu is the place to check.

Image Playground needs Apple Intelligence

Image Playground is the most specific option. Control-click an image on the sheet, then choose Add to Playground. The selected image goes into Image Playground. Apple's guide says this needs an M1 or later Mac with Apple Intelligence. An older Mac will not offer the option. If you do not see it, check your chip and your Apple Intelligence settings before you search for a fix.

Common mistakes when adding images in Numbers

  • Looking for a keyboard shortcut. Apple documents none for inserting an image.
  • Expecting Replace to change the size. The new image keeps the original dimensions.
  • Looking for Replace in the toolbar. It lives on the Image tab of the Format sidebar.
  • Skipping the file size check on a shared document. Large media can block the add.
  • Expecting Generate Image on every Mac. It needs Creator Studio and availability in your region.
  • Assuming a stuck image is broken. Apple says it may be locked or grouped.

Most of these mistakes come from looking in the wrong place. Start with the Insert Media menu. Then check the Format sidebar. If the image still will not move or swap, check whether it is locked or grouped.

Shared documents and image size limits

Collaborative documents have size limits. A document shared with iCloud can reach 2 GB. Creator Studio subscribers get 4 GB. Documents shared with Box stop at 1 GB. If Numbers says it cannot add a media file, Apple suggests shrinking the image or the whole document. You can shrink the media in Preview, QuickTime Player, or Music first. On a Mac, pause sharing, then choose File > Reduce File Size. Or stop sharing, add the file, and start sharing again. Let your collaborators know before you change sharing.

Numbers for iCloud uses different labels

If you work in Numbers on iCloud.com, the labels change. Click Media in the toolbar, then Choose Media. Double-click the image. You can also drag an image from your computer onto the spreadsheet, or copy and paste it. To replace, select the image, click Image at the top of the Format sidebar, then click Replace. Drop the new image outside the blue outline and it lands as a new image instead. Apple's iCloud guide we checked is the Canadian English version, so your labels may read a little differently.

On iCloud.com you can add GIF, JPEG, and PNG images up to 50 MB each. For larger images, use Numbers on a Mac, iPhone, or iPad, then view them on iCloud.com. Add alt text with the Description box on the Image tab. VoiceOver uses that text to describe the picture.

A worked example: a photo above a table

Suppose you track a bake sale in Numbers. You want a photo of the cakes above the table. Click Insert Media, choose Photos or Videos, and pick the photo. Drag it to the top of the sheet. A week later you find a better photo. Select the old one, open the Image tab in the Format sidebar, and click Replace. The new photo takes the old photo's size and spot. You change the picture, and the rest of the sheet stays as you left it.

Which menu names to expect

Apple's pages change over time. This page follows Apple's guide for Numbers 15.4 and the App Store listing that requires macOS 26.0. If a menu name differs on your Mac, look for the same option in the same place. The labels for Numbers on iCloud are different from the Mac labels, so use the guide that matches the app you have open.

What to do next

Once the picture is in, the next task is usually the table or the export. Read how to add a table in Numbers on Mac to place data beside the photo. If you need a PDF for email, follow how to export a spreadsheet to PDF in Numbers. For shared files, read how to share a spreadsheet in Numbers on Mac.
