How to use iCloud with Numbers on Mac: sync, save and find spreadsheets in macOS 26
To use iCloud with Numbers on Mac, turn on iCloud Drive for Numbers, then save or move your spreadsheets into the Numbers folder in iCloud Drive. On macOS 13.3 or later, go to System Settings > your name > iCloud > Drive, turn on Sync this Mac, and switch on Numbers under Apps Syncing to iCloud Drive.
Quick answer
- Turn on sync in System Settings > your name > iCloud > Drive, then switch on Numbers.
- Save a new spreadsheet with File > Save and pick the Numbers folder in iCloud Drive.
- Move a file you already have with File > Move To, then choose the Numbers entry under iCloud.
- Check the cloud icon in the Open dialog if an edit from an offline session hasn't reached other devices.
- Apple's two Mac settings pages describe slightly different paths, so match the labels you see on your screen.
What you need
- A Mac running macOS 26.0 or later for Numbers 15.4.2
- An Apple Account signed in on the Mac
- iCloud Drive turned on in System Settings
- Enough free iCloud storage for your files
How to Turn on iCloud sync for Numbers in Numbers on a Mac
Check your macOS version
Open the Apple menu and choose About This Mac. Note the macOS version. The Numbers 15.4.2 listing in the Mac App Store says it needs macOS 26.0 or later. The sync steps below work on macOS 13.3 or later.
Tip: Check the macOS version first, since the Settings labels depend on it.
Open iCloud settings
Open System Settings. Click your name at the top of the sidebar, then click iCloud. If you don't see your name, sign in to your Apple Account first.
Tip: This is the path on Apple's setup page for macOS 13.3 or later.
Turn on Sync this Mac
Click Drive. Turn on Sync this Mac. This switch lets files from this Mac live in iCloud Drive, including your Numbers spreadsheets.
Tip: If you see Turn On instead, you're on macOS 13 to 13.2. Use the next step.
Switch on Numbers
Click Apps Syncing to iCloud Drive. Find Numbers in the list and switch it on. Close System Settings when Numbers shows as on.
Tip: Numbers has to be on here, not only Sync this Mac, or your edits won't reach iCloud.
Use the macOS 13 to 13.2 path
On macOS 13 to 13.2, go to iCloud, then Drive. Click Turn On, click Options, and select Numbers. Apple's setup page doesn't cover macOS 12 or earlier.
Tip: Once Numbers is selected, check the result in Finder before you rely on it.
Use the Saved to iCloud path
If your Mac shows Saved to iCloud instead, go to iCloud and click See All under that heading. Turn on Numbers, then click Done. This matches Apple's Use iCloud with Numbers on Mac page.
Tip: Pick one path and stick with it. Both should end with Numbers allowed to use iCloud.
Save a new spreadsheet to iCloud
⌘S
Open Numbers and create a spreadsheet. Choose File > Save, or press ⌘S. In the Save As sheet, type a name and add optional tags. Open the Where pop-up menu, choose the Numbers folder in iCloud Drive, then click Save.
Tip: The iCloud Drive option only appears when iCloud Drive is set up on this Mac.
Save a copy with Save As
⌥⇧⌘S
To keep the original where it is, choose File > Save As, or press ⌥⇧⌘S. Pick the Numbers folder in iCloud Drive under Where, then click Save. You now have two files, so name the new one clearly.
Tip: Save As creates a second file. It doesn't move the original.
Move an open spreadsheet into iCloud
Click inside the open spreadsheet, then choose File > Move To. Open the Where pop-up menu and choose the Numbers entry under iCloud. Click Move. Apple lists no keyboard shortcut for Move To.
Tip: Check shared spreadsheets first. Moving one can break the link for participants on older devices.
Check for offline edits in the Open dialog
⌘O
Press ⌘O to open the Open dialog. If you edited a file offline and closed it, a cloud icon appears next to it. The file uploads when your Mac reconnects to the internet.
Tip: Stay online for a while after you reconnect, so the upload can finish.
Check Optimize Mac Storage
Open System Settings and go to General, then Storage. If Optimize Mac Storage is on, macOS can remove files from this Mac when it needs space. iCloud Drive downloads them again when you open them.
Tip: A slow first open can be a download. Wait a moment before you assume the file is damaged.
Numbers on Mac can keep your spreadsheets in iCloud Drive. Once they're there, you can open the same file on your other Apple devices, and your edits travel with them. This guide covers the sync settings, the save and move commands, and the errors people hit most often. The steps match Numbers 15.4 on macOS 26. Where Apple's older path differs, the step tells you.
What iCloud sync does for Numbers files
A spreadsheet saved in the Numbers folder in iCloud Drive lives in iCloud, not only on your Mac. When you're online, Numbers uploads your edits. Other devices signed in to the same Apple Account can then show the changes. Sync covers only the files you put there. It isn't a backup of your whole Mac, and it doesn't replace a copy you keep somewhere else.

Which macOS and Numbers version you need
Numbers 15.4.2 is the current Mac app in the Mac App Store. Its listing says the app needs macOS 26.0 or later. The listing shows an Oct 23 release date without a year, so check the version number on your own Mac rather than the date.
The sync steps in this guide work on macOS 13.3 or later. That's the minimum for the System Settings path. If you run macOS 13 to 13.2, Apple uses a slightly different path. The steps below include both, so you can follow whichever matches your screen.
Why the Numbers 14.5 and 15.x apps are different
On January 28, 2026, Apple updated the existing Numbers app on Mac to version 14.5. Apple says that app will get no new features. The new Apple Creator Studio edition, version 15.1, is a separate app. Apple's install page calls Numbers 15.1 a new app rather than an update, and it recommends installing from the Mac App Store.
Creator Studio costs $12.99 per month or $129 per year in the US. Apple says basic spreadsheet editing and real-time collaboration don't need a subscription. The sync steps in this guide assume the 15.x app. If Numbers on your Mac looks older, check which app opens before you troubleshoot anything else.
Why Apple's two iCloud settings pages disagree
Apple has two pages about iCloud and Numbers, and their Mac steps don't match. The setup page says to open System Settings, click your name, choose iCloud, then Drive. Turn on Sync this Mac, then click Apps Syncing to iCloud Drive and switch on Numbers.
The Use iCloud with Numbers on Mac page gives a different route. It says to go to iCloud, find Saved to iCloud, click See All, turn on Numbers, then click Done. Both routes should end with Numbers allowed to use iCloud Drive. If your screen shows one set of labels and not the other, follow the labels you see.
Save a new Numbers spreadsheet to iCloud Drive
Saving to iCloud is a choice you make each time you create a file. Numbers doesn't send a new spreadsheet to iCloud unless you pick the iCloud location in the Where pop-up menu. Here's a worked example. You're building a household budget called Budget 2027. You name it, tag it Home, and save it to the Numbers folder in iCloud Drive.
Then check the result. Open Finder, go to iCloud Drive, and look in the Numbers folder. If the file isn't there after a few minutes, check the sync settings and your connection. The iCloud Drive option in the Where menu only appears when iCloud Drive is set up on this Mac.
Move a spreadsheet you already have into iCloud
Moving changes where one file lives. Save As leaves the original where it is and creates a second file. Use Move To when you want one copy, and it should sit in iCloud. Use Save As when you want to keep the original and a copy too. Apple lists no keyboard shortcut for Move To, so use the File menu each time.
Check shared spreadsheets before you move them. Apple warns that if you own a shared spreadsheet and the iCloud Drive device runs an older iOS or macOS version, moving the file may break the link. The file may also become unavailable to participants. Ask your collaborators which devices they use first.

Find Numbers files in iCloud Drive from Finder
Finder is the quickest way to see what sits in iCloud Drive. Open the Numbers folder and you'll see every spreadsheet you saved there. Check a file's location before you rely on it. A file in iCloud Drive isn't the same as a file on your Desktop, even when both look alike in a window.
How offline edits and storage affect sync
Offline work is a frequent reason a file looks old on another device. Edit a spreadsheet without internet, then close it. Numbers shows a cloud icon in the Open dialog. The edits upload once your Mac reconnects. Until then, your other devices won't show them, so leave the Mac online for a while.
Storage causes quieter problems. Free iCloud storage is 5 GB once you sign in on a Mac, iPhone, iPad or Apple Vision Pro. Apple's US iCloud+ plans start at 50GB for $0.99 per month. Optimize Mac Storage adds another wrinkle. macOS removes files in reverse order of use when disk space is needed, and iCloud Drive downloads them again when you open them. A slow open can be a download, not a failure.
Version conflicts and shared spreadsheets
A version conflict happens when you edit the same unshared spreadsheet on several devices before they sync. Apple says you can preserve any or all of the versions. Keep every version first, compare the data, then delete the copies you don't need. Shared spreadsheets follow different rules.
Deleting a shared spreadsheet someone gave you removes it from iCloud Drive and Numbers on all your devices. Reopen the shared link to restore it. Don't delete a shared file to clear space. If you lose access, ask the owner to send a fresh link.
Use iCloud on the web and iPad with care
Apple says Pages, Numbers and Keynote features are only fully available on desktop. Spreadsheets are view-only in iOS and iPadOS. If you need to edit from an iPad, plan to use a Mac or another computer. Numbers on iCloud.com needs a computer, so an iPad browser won't give you a full editing session.
A web-only iCloud account has its own limit. Accounts with no Apple device sign in get 1 GB of storage. Signing in on a device raises that to 5 GB of free storage. If you rely on the web app, sign in on a Mac or iPhone so you aren't working inside the smallest limit.

Common mistakes with iCloud and Numbers
- Assuming a spreadsheet is in iCloud because Numbers is open. Check the Where location or the iCloud Drive folder.
- Turning on Sync this Mac but skipping the Numbers switch. Both need to be on.
- Editing the same file on two Macs before the first one syncs. That's how version conflicts start.
- Deleting a shared spreadsheet to clear space. It disappears from every device that uses it.
- Reading a slow open as a broken file. With Optimize Mac Storage on, the file may be downloading again.
- Mixing up the 14.5 and 15.x apps. Check which app opens before you troubleshoot sync.
What to do next after your files sync
Once your files sync, the next job is usually the spreadsheet itself. Two guides on this site cover common follow-up tasks. Add a formula in Numbers on Mac walks through formula entry. Export a spreadsheet to Excel in Numbers covers the File menu route for colleagues who use Excel.
Write down the labels you see on your Mac the first time you set up sync. Apple's two pages already disagree, so your notes will save time later. Then check your iCloud storage every few months, since every file in iCloud Drive draws from the same 5 GB free tier.

If it does not work
- Edits from my other Mac don't appear in Numbers
- Check that Sync this Mac and the Numbers switch are both on. Without them, edits from other devices don't show up on this Mac. A 2021 community report on a MacBook Air with macOS 12.3 described the same problem. Its suggested fixes were signing out and back in, or contacting Apple Support, and no fix was marked as accepted.
- A cloud icon appears next to my file in the Open dialog
- Your Mac saved the edits while offline. Connect to the internet and keep the Mac awake. The file uploads when the connection returns.
- Numbers shows a version conflict
- Choose to preserve the versions you need. Apple says you can keep any or all of them. Compare the data, keep the right version, then delete the rest once you're sure.
- A shared spreadsheet disappeared from my Mac
- Reopen the shared link. Deleting a shared spreadsheet someone gave you removes it from iCloud Drive and Numbers on all devices. The link restores it.
- iCloud storage is full
- Open System Settings > your name > iCloud to see what uses space. Free storage is 5 GB. The 50GB plan costs $0.99 per month in the US. You can also move older files out of iCloud Drive.
- My Mac doesn't match the steps in this guide
- Apple has two pages with different paths. If you don't see Sync this Mac, look for iCloud > Saved to iCloud > See All, turn on Numbers, then click Done.

Questions people ask
Do I need to turn on iCloud Drive to use Numbers with iCloud?
Yes. If iCloud Drive is off for Numbers, new spreadsheets and edits don't save to iCloud. Edits from your other devices also won't appear on your Mac. Turn on Sync this Mac and the Numbers switch first.
Where does iCloud save my Numbers files on the Mac?
Files you save to the Numbers folder in iCloud Drive are stored in iCloud. Finder shows them under iCloud Drive, in the Numbers folder. A file saved somewhere else stays there until you use File > Move To.
Can I edit a Numbers spreadsheet on iPhone or iPad?
Apple says spreadsheets are view-only in iOS and iPadOS. For editing, use the Mac app. Numbers on iCloud.com requires a computer. Check Apple's iCloud feature page for current limits before you rely on the web app.
How much iCloud storage do I get for free?
Apple's free tier is 5GB. Signing in on a Mac, iPhone, iPad or Apple Vision Pro gives 5 GB of free storage. A web-only account with no Apple device sign in gets 1 GB. US iCloud+ plans start at 50GB for $0.99 per month.
Do I have to pay to use Numbers on Mac?
Apple says basic spreadsheet editing and real-time collaboration don't need a subscription. Creator Studio costs $12.99 per month or $129 per year in the US. That subscription is the route to new features in the 15.x app.
Why is there no keyboard shortcut for Move To?
Apple's keyboard shortcut list for Numbers on Mac covers Save, Save As, Duplicate, Open, Close window and Find. It has no entry for Move or Export. Use the File menu for both.
Is Duplicate the same as Save As?
No. Apple lists Duplicate as ⇧⌘S and Save As as ⌥⇧⌘S, so they are separate commands. Use Save As when you want a new file in a location you choose.
Will a shared spreadsheet stay shared after I move it?
It might not. Apple warns that moving a shared spreadsheet can break the link if an older iOS or macOS device holds the file. Check your collaborators' devices before you move it.
