How to add a profile photo in Outlook on Mac: change it where Microsoft lets you

Outlook for Mac has no profile photo setting that Microsoft documents, so you change the photo on your account page instead. For a work or school account, go to myaccount.microsoft.com, select the edit icon on your photo, upload a new one, and select Save.

Quick answer

  • Outlook for Mac has no documented photo setting. Change the photo on your Microsoft account page.
  • Work or school account: go to myaccount.microsoft.com, select the edit icon, upload a photo, then select Save.
  • Personal Microsoft account: open Your info, select Change photo, then pick an image. HEIC and animated GIF files are not supported.
  • Expect a wait. Microsoft gives up to 24 hours for a personal account and no time for a work account.

What you need

  • A Mac with Outlook for Mac installed, build 16.42 or later
  • A browser signed in to the Microsoft account you want to change
  • The photo file saved on your Mac, ideally a still JPEG or PNG
  • IT approval if your admin has locked the photo option

How to Change your Outlook profile photo from a Mac in Outlook on a Mac

  1. Open the Microsoft account page

In your browser, go to myaccount.microsoft.com and sign in with your work or school account. Use the same account that signs in to Outlook.

Tip: If you use more than one account, check the email address in Outlook before you start.

  2. Select the edit icon

On your profile, select the edit icon on your current profile photo. If you do not see it, your admin may have restricted the option.

Tip: Ask IT or HR. Microsoft says the option may be restricted.

  3. Choose a new photo

Select the upload option, pick an image from your Mac, and resize it if the tool asks. Keep your face centered in the frame.

Tip: Use a still JPEG or PNG. Microsoft's work account page does not list accepted formats.

  4. Select Save

Select Save to confirm the change. The page does not say how long a work account change takes, so give it time before you judge the result.

Tip: Do not judge the result right away. No timing is given for work accounts.

Where the profile photo setting lives in Outlook for Mac

Microsoft does not publish steps for changing your photo inside Outlook for Mac. Its support articles send you to a web page instead. One guide online describes an Edit Profile menu in the Mac app, but Microsoft does not confirm it, and other guides disagree. Ablebits says the Mac app has no photo option at all. So treat any in-app route you find as unverified until you see it on your own screen. This page uses the browser routes Microsoft documents, so none of the steps below uses a Mac menu.

Work or school account: change the photo at myaccount.microsoft.com

If you sign in to Outlook with a work or school account, Microsoft sends you to myaccount.microsoft.com. You do not need Outlook open for this. A browser is enough. Microsoft also warns that your IT or human resources department may restrict the option. If you cannot find the edit icon, the setting may be locked on purpose. Your admin is the person who can change that.

Pick the photo before you sign in. Microsoft's work account article does not list file types, sizes, or update time. Choose a recent, clear photo of your face with no sunglasses. Crop it close to a square if you can, because the page lets you resize. A plain JPEG or PNG is the safest choice when a form lists no formats. Avoid group photos, since a circle crop makes each face small.

Personal Microsoft account: change the photo on the Your info page

A personal Microsoft account, such as one ending in outlook.com or hotmail.com, uses a different page. Microsoft says to open the Your info tab. Then select Change photo, and choose Add a photo or Change photo. Pick an image file from your Mac. Two limits matter. HEIC files and animated GIFs are not supported. The picture can also take up to 24 hours to update everywhere, so avoid re-uploading it while you wait.

  1. Open your browser and sign in to the Microsoft account site with your personal account.
  2. Select the Your info tab.
  3. Select Change photo.
  4. Select Add a photo or Change photo, then choose an image file from your Mac.
  5. Finish the dialog, then give the change up to 24 hours to show up everywhere.

Outlook on the web: change the same photo in a browser

Outlook on the web gives you another route into the same profile. Select your profile picture at the top of the page, then choose View account. In the My account pane, select your picture. In the Change your photo dialog, select Upload a new photo, choose a file, and select Apply. Microsoft says the new photo appears the next time you sign in to Microsoft 365. The article gives no file size or format limits, so use the same photo rules as before.

How long the new Outlook for Mac profile photo takes to show

Timing depends on the account type, and Microsoft gives a different answer for each. Personal accounts can take up to 24 hours. The classic Outlook article says up to 48 hours, but Mac is not in its applies-to list, so that number is not a Mac number. Work account articles give no time at all. On the web, Microsoft says the photo appears the next time you sign in to Microsoft 365. Plan for a day. If nothing changes after 24 hours, check which account you changed.

Common mistakes that keep the old photo

The most common mistake is changing the wrong account. Outlook can sign in to a work account and a personal account at the same time. If you update the personal photo while your mailbox uses a work account, the work photo stays the same. Check which email address you are signed in with before you start.

The second mistake is following classic Outlook steps. Classic Outlook articles say File, then Account Information, then Change. That route opens Outlook on the web, and the classic article does not list Mac. Use the browser routes above instead. The third mistake is uploading a HEIC photo to a personal account. Export a still JPEG first and try again.

Legacy Outlook for Mac and the October 2026 cutoff

Microsoft's Outlook for Mac page says support for legacy Outlook for Mac ends in October 2026. That month has passed as of November 7, 2026. The same page says you can switch back with Help > Revert to Legacy Outlook at any time. A Microsoft Q&A answer, labeled AI-generated, says legacy Outlook stops working against Exchange Online mailboxes after October 2026. Test the revert route yourself before you rely on it, because the sources do not confirm that it still works.

Accounts added in the new version do not carry over to legacy Outlook, and the reverse is also true. If you switch, plan to add the account again. Our guide on how to add an email account in Outlook on Mac covers the steps for both versions.

Sender photos next to the emails you receive

People often ask about the small avatar beside each email. A Microsoft Q&A answer from a 2023 thread about New Outlook for Mac v16.73.1 says that sender avatar is a design feature. It says the avatar cannot be changed. The answer gives no menu path and points to the Outlook Community feedback portal instead. The thread does not explain how that avatar links to your profile photo, so do not assume one changes the other.

Where Lazur fits when you cannot find a menu

Lazur is a voice assistant for the Mac. Hold Option and Command to ask about anything on screen, and Lazur answers out loud. Ask where something is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time, waiting for each click. Lazur does not click for you, and it does not change your photo.

For this page, the useful question is where the Help menu sits, if you want to check the legacy switch. Do not expect a circle around a photo button in the Mac app. Microsoft documents no such button. Ask Lazur where something is, and it can only point at what is on your screen.

What to do next

Once the photo is set, check your email signature. Signatures are separate from profile photos, and you may want to review yours. See how to create an email signature in Outlook on Mac. If you want a voice guide for the Outlook screens you use every day, see Lazur for Outlook on Mac.

If it does not work

The edit icon or photo option is missing
Your IT or human resources department may restrict the option on a work or school account. Ask them. On a personal account, use the Your info route instead.
The personal account upload fails
HEIC files and animated GIFs are not supported. Export a still JPEG and try again.
The old photo still appears
Wait. Microsoft gives up to 24 hours for personal accounts, and the work account article gives no time. Also confirm you changed the account Outlook uses.
Another account kept its old photo
Each Microsoft account has its own photo. Change the photo on the account that matches the mailbox you read.
The legacy switch or revert route does not work
Microsoft documents Help > Revert to Legacy Outlook, but legacy support ended in October 2026. Back up any data you need before you test it, and expect it may not work against Exchange Online mailboxes.
A sender avatar will not change
A Microsoft Q&A answer says sender avatars cannot be changed. Send feedback through the Outlook Community feedback portal.

Questions people ask

Can I change my profile photo inside Outlook for Mac?

Microsoft does not document an in-app route for Outlook for Mac. Its official steps use a browser. Work and school accounts go to myaccount.microsoft.com. Personal accounts use the Your info page. Some third-party guides describe a menu inside the Mac app, but Microsoft does not confirm them.

How long does a new profile photo take to appear?

Personal Microsoft accounts can take up to 24 hours. The classic Outlook article says up to 48 hours, but it does not list Mac. Microsoft gives no time for work accounts. On the web, the photo appears the next time you sign in to Microsoft 365.

Can I use a HEIC photo as my profile picture?

Not on a personal Microsoft account. Microsoft says HEIC files and animated GIFs are not supported there. Export a still JPEG and upload that instead. The work account article lists no file types, so a JPEG is the safer bet there too.

Do I need Outlook open to change the photo?

No. The documented routes use a browser, so you can change the photo without Outlook open. Outlook picks up the change later. Microsoft gives timing only for personal accounts and in the classic article.

What if my admin has locked the photo option?

Microsoft says the option may be restricted by your IT or human resources department. The article does not say how to request access, so ask your admin directly. Bring the account name and the photo you want to use.

Which version of Outlook for Mac do I need?

Microsoft lists 16.42 as the minimum build for the Current Channel. The newest build the sources show is 16.114.3, released October 27, 2026. Check your build in the app so you know which version you are working with.

Is legacy Outlook for Mac still supported?

Microsoft's Outlook for Mac page says legacy support ends in October 2026, and that month has passed. Microsoft documents a Help > Revert to Legacy Outlook route. A Q&A answer labeled AI-generated says legacy stops working against Exchange Online mailboxes. Test before you rely on either route.

Can Lazur change my profile photo for me?

No. Lazur guides, points, explains and answers out loud. It does not click buttons or operate other apps for you. You pick the photo and upload it on the account page. Lazur can point at things on your screen, such as the Save button.
