How to add an email account in Outlook on Mac: new and legacy versions, 2026
To add an email account in Outlook on Mac, open Outlook > Settings, select Accounts, click + Add Account, enter your address, click Continue, follow the prompts, and select Done. Extra accounts go through Tools > Accounts, and legacy Outlook uses Outlook > Settings > Personal Settings > Accounts > Add Email Account.

Quick answer
- New Outlook for Mac: Outlook > Settings > Accounts > + Add Account, then enter your address and select Continue.
- More accounts: Tools > Accounts > + Add Account at the bottom of the accounts list.
- Legacy Outlook: Outlook > Settings > Personal Settings > Accounts > Add Email Account.
- Gmail, iCloud, Yahoo, and IMAP can sync through Microsoft Cloud or directly. Outlook.com and Microsoft 365 need Microsoft Cloud.
- If you see 'This account cannot be added', update Outlook first, then try again.
What you need
- Outlook for Mac installed, new or legacy. Check the build under Help > Check for Updates.
- The full email address and password for the account you want to add.
- A browser window, because Microsoft Cloud sign-in opens there.
- A current build if the message 'This account cannot be added' appears.
- Two-step codes from your provider, if two-factor sign-in is on for the account.
How to Add an email account in Outlook on Mac in Outlook on a Mac
Open Settings in new Outlook
⌘,
Click Outlook in the menu bar, then choose Settings. The shortcut ⌘, opens the same Outlook Preferences window.
Tip: Make sure Outlook is the active app first, or the Outlook menu will not show.
Select Accounts
In the side panel, select Accounts. Every account already connected to Outlook on this Mac appears in the list.
Tip: Check the list first so you do not add the same account twice.
Start a new account
Select + Add Account. Outlook opens the account form. Type the full address, such as name@example.com.
Tip: Use the address you sign in with, not a nickname.
Continue past the address
Select Continue. Outlook picks a provider and shows the next screen. Follow each prompt for your provider.
Fix a wrong provider
If Outlook guessed the wrong provider, click the link that reads Not followed by the provider name, such as Not Google?. Choose the right provider before you enter a password.
Tip: The same link offers Sync directly with the provider for Google, iCloud, Yahoo, and IMAP accounts.
Allow access on the provider page
For Google, select Allow on the permissions screen. For Yahoo, IMAP, or POP, the provider site may open, and you must select Allow there. Outlook needs that access to reach your mail, contacts, and calendars.
Tip: If the page closes before you see Allow, start the add steps again.
Finish with Done
When the account appears, select Done. Mail starts syncing, and the account shows in the Accounts list.
Add a second account in new Outlook
Click Tools in the menu bar, choose Accounts, and select + Add Account at the bottom of the accounts list window. Enter the address, follow the prompts, then select Done.
Add the first account in legacy Outlook
In legacy Outlook, click Outlook > Settings. Under Personal Settings, select Accounts, then select Add Email Account. Enter the address and select Continue.
Add more accounts in legacy Outlook
Click Tools > Accounts, click the + at the bottom-left of the window, then choose Add an Account. Follow the prompts for your provider.
Set a default account
Open Settings > Accounts, select the account, and turn on the Default account toggle for the address you use most.
Tip: To remove an account instead, use the Manage drop-down at the bottom and choose Remove Account.
Adding an email account usually takes a few minutes. The step that trips people up is not the form itself. It is knowing which Outlook for Mac you have open, because Microsoft ships a new client and a legacy client, and their menus do not match. This guide covers both, starting with the new one.

Check which Outlook for Mac you are running
The new client appears in Microsoft's help as Outlook for Microsoft 365 for Mac and Outlook 2024 for Mac. If your settings show a Legacy Outlook switch, you are on legacy Outlook. Turning that switch off moves you to the new client. If you cannot find the switch, update the app with Help > Check for Updates, or download it again from the App Store.
Microsoft's release notes list 16.114.3 as the latest build, dated October 27, 2026. Update before you add accounts if your build is older. Microsoft's known-issue page names build 16.81.2 as the fix for an account error, so a current build is the safe choice.

Use these steps for the new client. They work for Gmail, Outlook.com, iCloud, Yahoo, and most IMAP accounts. Prompts differ by provider, so read each screen before you click.
- Click Outlook in the menu bar, then choose Settings. Or press ⌘, to open the Outlook Preferences window.
- In the side panel, select Accounts. Your connected accounts appear in the list.
- Select + Add Account and type the full email address, such as name@example.com.
- Select Continue, then follow the prompts for your provider.
- On a Google, Yahoo, or IMAP page, select Allow so Outlook can reach your mail, contacts, and calendars.
- When the account appears, select Done.
Microsoft's help pages do not say whether the labels changed after the Settings redesign in version 16.108, released April 14, 2026. If a word differs on your screen, look for Accounts and an add button in the same place.
Add a second account with Tools > Accounts
After your first account exists, the Tools menu holds the account list. Use this path for every account after the first one in the new client.
- Click Tools in the menu bar.
- Choose Accounts.
- Select + Add Account at the bottom of the accounts list window.
- Enter the address, follow the prompts, then select Done.
Suppose you run a work Microsoft 365 account and want your personal Gmail beside it. Open Tools > Accounts, select + Add Account, and type the Gmail address. Click Continue, then click Allow on the Google permissions screen. Click Done. Both accounts now show in the same list.
Add accounts in legacy Outlook for Mac
Legacy Outlook uses older labels and a different path. Use it only if your settings show the legacy switch, or if your work mailbox has not moved yet. For the first account, the Accounts option sits under Personal Settings.
- Click Outlook > Settings.
- Under Personal Settings, select Accounts.
- Select Add Email Account, enter the address, and select Continue.
- For another account, click Tools > Accounts, click the + at the bottom-left of the window, and choose Add an Account.
Microsoft says the legacy client stops working with Exchange Online mailboxes starting October 2026. On-premises Exchange mailboxes can keep using it until October 9, 2029. Microsoft also says over 95% of Microsoft 365 users already moved to the new version. If your work mailbox sits on Exchange Online, add it in the new client.
Pick Microsoft Cloud or direct sync
When you add a Google, iCloud, Yahoo, or IMAP account, Outlook can connect in two ways. Microsoft Cloud signs you in through your browser, then syncs the account through Microsoft's cloud. Direct sync skips that step and connects to the provider itself.
To switch paths, click the link that reads Not followed by the provider name, such as Not Google?. Then choose Sync directly with Google. Office 365 and Outlook.com accounts do not offer this option, because they require Microsoft Cloud. POP accounts cannot use it either.
| Provider | Sign-in step | Note |
|---|---|---|
| Gmail | Continue, then Allow on the Google permissions screen, then Done | Direct sync is offered through the Not Google? link |
| iCloud | Continue, then sign in through the browser window | Microsoft's iCloud help has no Mac steps |
| Yahoo | Continue, then Allow on the Yahoo page | The provider site may open first |
| IMAP or POP | Continue, then Allow on the provider page | POP cannot be selected for direct sync |
| Outlook.com or Microsoft 365 | Enter email and password, click Add Account, then Done | Microsoft Cloud is required, so no direct sync |
Microsoft's iCloud help page covers Windows and Classic Outlook only. It has no Mac steps. If Microsoft Cloud sign-in fails for iCloud, try the Not iCloud? link and choose Sync directly with iCloud. If sign-in asks for a code, follow the prompt in the browser window.
Make a default account and remove one
Outlook can treat one account as the default. To set it, open Settings > Accounts, select that account, and turn on the Default account toggle. Turn it on for the address you use most when you send mail.
To remove an account, open Settings > Accounts, select the account, and open the Manage drop-down at the bottom. Choose Remove Account. Remove an account only when you are sure, and keep its password handy in case you need to add it back.
Fix the 'cannot be added' error in Outlook for Mac
Some people see 'This account cannot be added.' along with 'The license provided by your work or school does not enable access to Outlook for Mac.' Microsoft's known-issue page gives one fix, installing build 16.81.2. That page was last updated March 4, 2024, so treat 16.81.2 as the minimum, not the target.

Start with an update. Use Help > Check for Updates, or update through the App Store if you installed Outlook from there. Restart Outlook, then repeat the add steps from the top. If the license message stays, ask the IT team at your work whether your license includes Outlook for Mac.
Handle the 'also connected on other devices' prompt
Outlook may say the account is also connected on other devices. It then offers Sign Out On This Device or Sign Out On All Devices. Choose the first to stop using the account on this Mac only. Read both labels before you click, because the second one affects every device that uses that account.
Mistakes that slow people down
- Picking the wrong provider on the first screen and entering a password. Use the Not link first.
- Clicking Continue and skipping the Allow step. Yahoo, IMAP, and POP accounts need Allow, or Outlook cannot reach your mail.
- Trying direct sync for Outlook.com or Microsoft 365. Those accounts need Microsoft Cloud.
- Looking under Tools for the first account. Start in Settings, then use Tools for later accounts.
- Adding the same account twice. Check the Accounts list before you start the steps again.
What to check after the account connects
Check that mail arrives in the Inbox and that the sender name looks right. Then finish the setup. Add a signature with the signature guide. Turn on automatic replies if you are away. If your team shares a mailbox, follow the shared mailbox steps.

Shortcuts and the unified inbox
Microsoft's Mac keyboard shortcut page lists Command + Comma for Outlook Preferences. It lists no shortcut for the Tools menu, Accounts, or Add Account. Use the mouse for those steps.
Once you have more than one account, the unified inbox shows mail from each account in one place. Microsoft's unified inbox page gives the route as Tools in the Mac toolbar, then Accounts, then the + Add an account button, then New Account.

If it does not work
- 'This account cannot be added.' appears
- Update Outlook first with Help > Check for Updates. Microsoft's known-issue page names build 16.81.2 as the fix. Current builds are newer, and the latest build listed is 16.114.3.
- 'The license provided by your work or school does not enable access to Outlook for Mac'
- Update the app, then try again. If the message stays, ask your IT team whether your work license includes Outlook for Mac.
- Outlook asks whether the account is also connected on other devices
- Choose Sign Out On This Device to stop using the account on this Mac only. Choose Sign Out On All Devices to sign it out everywhere.
- The wrong provider page opens
- Click the Not [provider]? link and choose the right provider. For direct sync, choose Sync directly with that provider. Office 365 and Outlook.com accounts cannot use direct sync.
- Yahoo, IMAP, or POP account never reaches your mail
- Remove the account from Settings > Accounts with Manage > Remove Account, then add it again and select Allow on the provider page.
- Legacy Outlook will not connect to a work mailbox
- Microsoft says legacy Outlook stops working with Exchange Online from October 2026. Turn off the Legacy Outlook switch or update, then use the new client.

Questions people ask
Why do my menus differ from these steps?
Microsoft redesigned the Settings area in version 16.108, released April 14, 2026. Check your build under Help > Check for Updates. If a label still differs, look for Accounts and an add button in the same place.
Can I add Gmail to Outlook for Mac without Microsoft Cloud?
Yes. When Outlook offers Microsoft Cloud, click the link that reads Not Google?, then choose Sync directly with Google. Google may still show a permissions screen, so select Allow there before you select Done.
Why is there no direct sync option for Outlook.com or Microsoft 365?
Those accounts require Microsoft Cloud, so Outlook does not offer direct sync for them. Enter your email address and password, click Add Account, then click Done.
Does legacy Outlook for Mac still work?
Microsoft says legacy Outlook stops working with Exchange Online mailboxes from October 2026. On-premises Exchange mailboxes can keep using it until October 9, 2029. If your work mailbox is on Exchange Online, move to the new client.
What do the two sign-out choices mean?
Sign Out On This Device removes the account from this Mac only. Sign Out On All Devices signs the account out on every device where it is connected.
Is there a keyboard shortcut for adding an account?
Microsoft lists ⌘, for Outlook Preferences. It lists no shortcut for the Accounts or Add Account steps, so use the menus for the rest.
Does iCloud need a special password on a Mac?
Microsoft's iCloud help covers Windows and Classic Outlook only. It says Classic Outlook on Windows needs an app-specific password when two-factor authentication is on. It gives no Mac steps, so follow the sign-in prompts and try Sync directly with iCloud if Microsoft Cloud fails.
Where do I add a second account if the Tools menu is missing?
Click Outlook in the menu bar so Outlook is the active app, then look for Tools. In the new client, Tools > Accounts > + Add Account adds more accounts.
