How to add a shared mailbox in Outlook on Mac: new Outlook steps for 2026

To add a shared mailbox in Outlook on Mac, switch to new Outlook, choose File > Open > Shared Mailbox, and type the full mailbox address. Your admin must create the mailbox and grant you Full Access first, because Outlook for Mac does not map shared mailboxes automatically.

Quick answer

  • Get the full shared mailbox address and Full Access from your admin before you start.
  • Switch to new Outlook. Legacy Outlook stops working against Exchange Online mailboxes starting October 2026.
  • Use File > Open > Shared Mailbox, type the address, and confirm. No keyboard shortcut is documented for this task.
  • Sending as the mailbox needs Send As or Send On Behalf. Your admin sets that, not you.
  • Outlook for Mac does not auto-map shared mailboxes, so repeat the steps on every Mac that needs the mailbox.

What you need

  • Outlook for Mac on the 16.114 line or newer
  • A licensed Exchange Online mailbox of your own
  • Full Access on the shared mailbox, granted by your admin
  • The full email address of the shared mailbox
  • Send As or Send On Behalf permission, if you will send mail from it

How to Add a shared mailbox in Outlook on Mac in Outlook on a Mac

  1. Get the address and Full Access

Write down the full shared mailbox address, such as support@yourcompany.com. Confirm with your admin that you are a member and have Full Access. Without Full Access, you may not be able to use the mailbox on your Mac.

Tip: Ask for the address in writing so you do not retype it from memory.

  2. Update Outlook for Mac

    HelpCheck for Updates

Open Help > Check for Updates and install anything offered. Microsoft's update history lists 16.114.4 (build 26110224) as the newest build, released November 4, 2026. Quit and reopen Outlook when the update finishes.

Tip: If Check for Updates is missing, install the current version from the Apple App Store.

  3. Turn on new Outlook

Turn off the Legacy Outlook switch to move into the new experience. Accounts added in legacy do not appear here, so you will add the mailbox from scratch.

Tip: To switch back later, use Help > Revert to Legacy Outlook.

  4. Open the Shared Mailbox option

    FileOpenShared Mailbox

Click File > Open > Shared Mailbox. This is the path Microsoft's Mac help page lists. Labels can shift between builds, so if your screen says something different, look for the option that opens a shared mailbox dialog under Open.

Tip: Microsoft lists no keyboard shortcut for this step.

  5. Enter the mailbox address

Type the full address into the box and confirm. A mistyped address returns 'No match was found', the same message Microsoft describes on the web. Check the spelling against your admin's copy before you retry.

  6. Wait for the mailbox to appear

Give Outlook a few minutes. Microsoft's web help says newly added mailboxes can take a few minutes to appear, so expect the same wait on a Mac. If nothing shows, quit and reopen Outlook.

Tip: Adding the mailbox twice only leaves you a second entry to clean up.

  7. Find the mailbox in the Folder pane

Look for the shared mailbox name in the Folder pane. Shared calendars are listed separately, under Shared Calendars. If you opened a calendar by mistake, remove that folder and add the mailbox again through File > Open > Shared Mailbox.

  8. Send a test message

Open a message in the shared mailbox and confirm you can read it. Send a test only after your admin confirms Send As or Send On Behalf. Then check that the From line shows the shared address.

Tip: Send the first test to a colleague, not to a customer.

What you need before you add a shared mailbox

  • A licensed Exchange Online mailbox of your own
  • The full email address of the shared mailbox
  • Full Access permission on that mailbox, granted by your admin
  • Send As or Send On Behalf, only if you will send mail from it

The shared mailbox does not need its own license. Only people inside your organization can use it. Microsoft says the mailbox's own sign-in account should stay blocked, so the shared address works as a mailbox, not a login.

Your admin has two jobs before you start. They create the shared mailbox, then add you as a member. Until that happens, there is nothing for Outlook to open. Microsoft's main shared mailbox article covers Windows and the web, not Mac, so ask for the address in writing.

Ask for Full Access by name. Microsoft says Full Access is the only permission level Outlook for Mac fully supports. Other levels may load, but Microsoft does not promise they will work.

Check your Outlook for Mac version first

Update before you touch the mailbox settings. Microsoft's update history lists Outlook for Mac 16.114.4, build 26110224, released November 4, 2026, as the newest build. Open Help > Check for Updates and install anything offered.

Switch to new Outlook before you start

Legacy Outlook for Mac stops working against Exchange Online mailboxes starting October 2026. Microsoft also retires the EWS service behind it on October 1, 2026. If your mailbox lives in the cloud, the old route is a dead end.

To switch, turn off the Legacy Outlook switch. If no switch appears, update Outlook with Help > Check for Updates, or install the current version from the Apple App Store. To go back later, use Help > Revert to Legacy Outlook.

Keep one rule in mind. An account added in new Outlook for Mac does not show in Legacy Outlook, and the reverse is also true. Pick one app for this setup and stay in it.

Add the shared mailbox in new Outlook for Mac

The steps below follow the order you will meet them. The menu paths come from Microsoft's Mac help page. Most of the waiting happens after you confirm the address, so read step 6 before you panic.

Use the legacy route only if you have no choice

Microsoft's Mac page also documents the older route. Open Tools > Accounts, click the plus sign, and add an Exchange account. Type the shared mailbox address under E-mail address, enter your own credentials under Authentication, then tick Sync shared mailbox. That checkbox arrived in version 16.13.411.

For cloud mailboxes, this route ends in October 2026. For Exchange On-Premises mailboxes, legacy Outlook for Mac works until October 9, 2029. If your mailbox is on Exchange Online, skip this section.

A Microsoft Q&A thread suggests another legacy path. It goes Tools > Accounts, select the account, then Delegation and Sharing > Shared With Me > +. The first answer in that thread is labeled AI-generated and unverified, so treat it as a lead, not a fact.

Fix the errors people hit most

  • Autodiscover redirect: if Outlook says it was redirected to autodiscover-s.outlook.com, choose Always use my response for this server, then click Allow.
  • Mailbox does not appear: wait a few minutes, quit Outlook, reopen it, then check the address spelling.
  • Permission error when sending: sending needs Send As or Send On Behalf. Ask your admin to check it.
  • Permission error right after creation: Microsoft Learn says this is replication latency that usually clears in about an hour.
  • Shared Mailbox missing from File > Open: confirm the Legacy Outlook switch is off, then update Outlook.

If the mailbox still does not appear, check with your admin before you reinstall anything. Reinstalling Outlook cannot give you rights you were never granted.

Send mail from the shared mailbox

Adding a mailbox lets you read it. Sending as it needs a second permission. Send As or Send On Behalf both work, and your admin sets them. Without one of them, Outlook will not send with that address.

When mail goes out from a shared mailbox, recipients see only the shared address. That suits a support or billing address. It is less useful when a person wants their own name on a reply.

Test before you rely on it. Send a message to a colleague outside the team, and check that the From line shows the shared address. Do this before any customer sees a reply.

Remove a shared mailbox from your Mac

Microsoft's Mac page gives one method. Hold Control, click the shared folder, and choose Remove Shared Account. The page lists no keyboard shortcut for this task.

Removing the folder from your Mac does not change the mailbox itself. Your admin still decides who has access to it, and you can ask them to add you back later.

Add the mailbox in Outlook on the web instead

If the Mac app keeps refusing the address, try the web. Right-click Folders and choose Add shared folder or mailbox. On Exchange on-premises, right-click your primary mailbox name instead.

For new-message notifications, the mailbox needs its own window. Select your name, then choose Open another mailbox. Microsoft's web help says that window is what drives the notifications.

Limits to check before a team relies on one mailbox

Storage is the first limit. A shared mailbox stores up to 50 GB without a license. Raising the cap to 100 GB needs an Exchange Online Plan 2 license on that mailbox. Check the current size before a busy inbox moves in.

User count is the second limit. A shared mailbox supports a maximum of 25 users. If too many people open it at once, you may see connection failures or duplicate messages.

Microsoft suggests a Microsoft 365 group when more people need access. Your admin can tell you whether that fits your setup better than a shared mailbox does.

Open a shared calendar on a Mac

A shared calendar is a different job. Choose File > Open > Other User's Folder. Microsoft says Calendar is the only folder type you can open this way in Outlook for Mac. Shared calendars then appear under Shared Calendars in the Folder pane.

Mistakes that waste an afternoon

  • Adding the mailbox in legacy Outlook, then looking for it in new Outlook. The two keep separate accounts.
  • Assuming Outlook will find the mailbox by itself. Outlook for Mac does not auto-map shared mailboxes.
  • Following Windows instructions. The menus differ on a Mac, so use the File menu path on this page.
  • Typing a display name where the full address belongs.
  • Skipping the admin step. You need membership before the mailbox opens for you.

Plan for growth before you add more people

If the mailbox is busy, count the users first. The cap is 25. Then decide whether a Microsoft 365 group fits better, before the setup spreads.

Each new Mac needs its own steps. Because Outlook for Mac does not auto-map shared mailboxes, a teammate who gets a new laptop has to repeat the File menu path.

If it does not work

Shared Mailbox is missing from File > Open
Confirm the Legacy Outlook switch is off, then update Outlook with Help > Check for Updates. Ask your admin to confirm you are a member.
Outlook says it was redirected to autodiscover-s.outlook.com
Choose Always use my response for this server, then click Allow, as Microsoft's Mac help page describes.
'No match was found' after entering the address
The address is probably mistyped. Compare it with your admin's copy character by character, then try again.
You do not have permission to send on behalf of the specified user
Right after the mailbox is created, this is replication latency that usually clears in about an hour. If it lasts longer, ask your admin to check Send As or Send On Behalf.
Mailbox added in legacy does not appear in new Outlook
Accounts do not carry between the two versions. Add the mailbox again in new Outlook using File > Open > Shared Mailbox.
Shared mailbox has connection failures or duplicate messages
Microsoft says one shared mailbox supports a maximum of 25 users. Ask your admin whether a Microsoft 365 group fits the team better.
