Quick answer

  • Right-click your account name in the folder pane, choose New Folder, type a name and press Return.
  • For a subfolder, right-click the parent folder and choose New Folder.
  • The shortcut ⇧⌘N creates a new folder in the folder pane, according to Microsoft's Mac shortcut page. Test it on a throwaway folder first.
  • If New Folder is greyed out, check the account type. Create the folder in webmail or re-add the account as IMAP.
  • Folders are optional. A 2011 study found search was faster than folders for refinding messages.

What you need

  • Outlook for Microsoft 365, Outlook 2024 or Outlook 2021 for Mac
  • macOS 14 Sonoma or later to receive Microsoft 365 and Office updates
  • An account that accepts new folders (see troubleshooting for greyed-out cases)
  • Webmail access, if New Folder is greyed out on an account

How to Create a folder in Outlook on Mac in Outlook on a Mac

  1. Open the folder pane

Look at the left side of the Outlook window. The folder pane lists each account, then the folders under it. Microsoft's article does not explain how to show the pane, so if you cannot see it, check the View menu for a sidebar option.

  2. Right-click your account name

    Right-click account nameNew Folder

Right-click the account name at the top of its group, usually your email address. Choose New Folder from the menu that opens. This creates a top-level folder under the account.

Tip: Right-click the account name, not a folder. A folder menu creates a subfolder instead.

  3. Type a name and press Return

    Return

A text box appears in the folder pane. Type the name, then press Return. The folder appears under your account, empty and ready for mail.

  4. Create a subfolder

    Right-click parent folderNew Folder

Right-click the parent folder and choose New Folder. Type a name, then press Return. The new folder sits inside the parent. Use the arrow beside the parent to expand or collapse it.

  5. Try the keyboard shortcut

    ⇧⌘N

Select the account or folder in the folder pane, then press ⇧⌘N. A new folder appears in the folder pane. Test it on a throwaway folder first, since Microsoft did not confirm this shortcut in new Outlook for Mac.

Tip: If the shortcut does nothing, a macOS utility may be using it.

  6. Rename or delete a folder

    Right-click folderRename Folder

Right-click the folder. Choose Rename Folder to change the name, or Delete Folder to remove it. The Delete button in the ribbon also removes the selected folder.

  7. Open the folder to confirm it

Click the new folder to open it. It has no messages until you move some in. Expand the parent folder with its arrow if the new folder is hidden.

  8. Move mail into the folder

    ⇧⌘M

Select one or more messages. Press ⇧⌘M, then pick the new folder. Use ⇧⌘C instead if you want a copy to stay where it is.

Create a top-level folder in Outlook on Mac

A top-level folder sits directly under your account in the folder pane on the left. It sits at the same level as your default folders, such as Inbox. Outlook treats it like any other folder, so you can move mail into it, rename it and delete it. A new folder is empty until you put something in it.

Microsoft's Mac article covers this task in a few lines. It applies to Outlook for Microsoft 365 for Mac, Outlook 2024 for Mac and Outlook 2021 for Mac. The article lists no keyboard shortcut and no dialog options beyond typing a name. The steps in this guide stick to what Microsoft documents, and they say so when Microsoft is silent.

Pick folder names you can scan quickly

The folder pane is narrow, so long names get cut off. Short names read faster. Clients 2026 is easier to scan than Client Work Files for the Year. Use the same spelling every time, so the folders sort the same way and search finds them.

You can change a name later without losing any mail. Right-click the folder and choose Rename Folder. Pick a naming pattern once and use it for every folder. That keeps the sidebar readable in a month, when you no longer remember why a folder exists.

Make a subfolder inside an existing folder

A subfolder sits inside a parent folder. Microsoft's instructions for nested folders match the top-level steps, except you start from the parent. Right-click the parent, choose New Folder and name it. The parent then shows an arrow you can use to expand or collapse it.

Keep the tree shallow. A few levels is usually enough. Deep trees hide the folders you use every day, and you end up clicking five arrows just to reach one message. If you need depth, keep the busiest folders near the top, where you can see them.

A worked example: folders for client work

Say you run a small practice with three clients. You want contracts and invoices filed by client and by year. Start with one top-level folder called Clients. Add one subfolder per client, then a year folder inside each client, then two category folders inside each year.

  • Clients: top-level, created from the account name
  • Clients > Client A > 2026: created from the parent each time
  • Clients > Client A > 2026 > Invoices: the last level, where mail lands

Build the top two levels first. Add the year and category folders as mail arrives. You can add a folder at any time, so start small and grow the tree only when you need it. With this layout, every invoice has one place to look.

Use the keyboard shortcut for a new folder

Microsoft lists ⇧⌘N as the shortcut for a new folder in the folder pane. It appears on the keyboard shortcut page for Outlook for Microsoft 365 for Mac, Outlook 2024 for Mac and Outlook 2021 for Mac. Microsoft has not confirmed it in new Outlook for Mac, so check it on your own screen first.

Test it with a throwaway folder. The parent of the new folder depends on what is selected, so the result can differ from what you expect. If nothing happens, a utility app may use the same key combination. Microsoft's page warns about that conflict and advises changing the macOS key assignment.

If you are unsure which build you run, check the About window in Outlook. Microsoft's release notes list version 16.114.3 (Build 26102720), dated October 27, 2026, with the note Quality and performance improvements. Microsoft says macOS 14 Sonoma is the minimum for receiving Microsoft 365 and Office updates, so an older Mac may not get the newest build.

Legacy Outlook and the new Outlook for Mac

Microsoft also ships a new Outlook for Mac. To try it, turn off the Legacy Outlook switch in Outlook. To go back, click the Help menu and select Revert to Legacy Outlook. Accounts added in one version do not appear in the other, so check which version holds your account before you build a folder tree.

Version 16.114 changed folder archive policies so they stay saved after folder synchronization. That matters if you use archive folders next to the folders you create here. Read the release notes after each update, since folder behavior can change between builds.

When New Folder is greyed out

A greyed-out New Folder shows up in Microsoft's community forums for Outlook for Mac. The threads date from 2023 and 2024. The answers come from community members, not from Microsoft's official instructions, so they may not match your build.

One accepted answer says Outlook does not allow adding folders to cloud accounts. The account in that thread was an IMAP account added as a Microsoft cloud account. If your account matches that pattern, the fixes below are the ones people reported using.

  • Create the folder in webmail. It syncs down to Outlook for Mac.
  • Remove the account and re-add it as IMAP. Click Not IMAP in the upper right, add it as IMAP, and turn off Microsoft sync before you finish.
  • For a Gmail account, create the folder as a label in Gmail. The label shows up in Outlook.

Older threads suggest Windows fixes such as Control Panel repair and mailbox Permissions. Those are Windows tools. A Mac user in a 2023 thread said they do not exist on macOS, so skip them.

Do folders help you find email?

This question sits behind the folder question. A 2011 IBM Research study analyzed 345 long-term users and more than 85,000 episodes of searching old email for a specific message. Users who did no organizing found messages faster than users who filed email in folders.

The CHI 2011 paper reports a median of 17 seconds to refind a message by search, against 58 seconds through folders. That is about 3.4 times longer. Heavy filers had no measurable advantage in finding success. I could not open the paper itself, so these figures come from a secondary write-up.

Folders still help with filing and with rules. They are just not the fastest way back to one message. A Mail Manager survey found 73% of respondents said they spent too much time searching for emails. That survey gave no sample size, and it measured search time, not folder use.

Mistakes people make with folders in Outlook

  • Right-clicking a folder when you meant the account. The new folder nests inside the one you clicked.
  • Creating folders under the wrong account when the sidebar shows more than one account.
  • Building a deep tree before you have mail to file. Begin with a shallow tree and add levels as you need them.
  • Assuming a folder in new Outlook shows up in legacy Outlook. Accounts do not carry between the two.
  • Relying on ⇧⌘N without a test. Microsoft did not confirm it for the new app.

What to do after you create the folder

Click the folder to open it. Move mail in with ⇧⌘M, which moves the selected message to a folder you pick. Use ⇧⌘C to copy the message instead, so it stays where it is too. Microsoft's keyboard page also lists ⌘4 for the Favorites pane.

Favorites is useful for the few folders you open every day. Press ⌘4 to bring up that pane. Move between panes in Mail view with ⇧⌃[ and ⇧⌃]. Microsoft lists those shortcuts on the same keyboard page, so they should match the versions covered above.
