Gmail for literary agents on Mac: queries, templates and filters in your browser
Gmail for literary agents on Mac means running Gmail in a browser, with a few settings that save time on query and submission mail. Google's help pages do not describe a native Gmail app for Mac, so the work happens in your browser and in Gmail's settings. This guide covers templates, filters, scheduled send, snooze and multiple inboxes, plus where Lazur helps while you work.
You say“Draft a short reply that asks for the full manuscript, and keep it warm.”
Lazur · drafts itLazur reads the query on your screen, drafts a reply out loud, and types it at your cursor when you say so. You read it and send it yourself.
Draft at your cursor
Thank you for sending the query. I would be glad to read the full manuscript. Please send it when it is ready.
Quick answer
- Gmail on Mac runs in a browser. In Safari, File > Add to Dock makes a Gmail window on macOS Sonoma 14 or later.
- Templates are off by default. Turn them on under Settings > See all settings > Advanced, then click Enable.
- Scheduled send holds up to 100 emails and follows the time zone you picked.
- Snooze and multiple inboxes are set up on a computer. Lazur can guide you through each step one click at a time.

Hold ⌥ ⌘ in Gmail and say it.
“Where is the Snooze icon in this email?”
Lazur draws a circle and a label around the Snooze icon on your screen.
Points at it · Gmail
“Walk me through turning on templates.”
Lazur guides you one click at a time through Settings > See all settings > Advanced, and waits for each click.
Walks you through it · Gmail
“Explain what this search query means.”
Lazur reads the search query on your screen and explains each part in plain words, out loud.
Explains what's on screen · Gmail
“Write a short reply that asks for the synopsis.”
Lazur drafts the reply from the thread on your screen, so you can edit it before it goes out.
Drafts it · Gmail
“Dictate a note about the sample pages.”
Dictation types clean text at the cursor in the reply, so you can check names and the sign-off.
Types what you say · Gmail
“Find out how long agents usually take to respond.”
Lazur runs the research in its own Chrome tabs and comes back with a summary and a report.
Researches in the background · Gmail
“Remind me to read the manuscript on Friday morning.”
Lazur adds an Apple Reminders item by voice. Snooze alone does not send a reminder, so this fills that gap.

Gmail on a Mac is the web app at mail.google.com. Google's help pages do not describe a separate Mac app. The snooze help page even tells computer users to go to Gmail in their browser. So your Mac setup is mostly browser work plus a handful of Gmail settings. Once those are right, the inbox does most of the sorting for you.

Gmail on Mac: browser tab or Safari web app
A browser tab is the simplest route. It works on any Mac with a current browser. The downside is that a tab gets buried among research, drafts and client sites. Safari can give Gmail its own window instead. Open mail.google.com in Safari, then choose File > Add to Dock. Apple says this option requires macOS Sonoma 14 or later. Safari saves the web app in the Applications folder of your home folder.
Check your version before you look for the menu. Click the Apple menu, then choose About This Mac. If the version is older than Sonoma 14, File > Add to Dock will not be there. Keep using a browser tab. Nothing else in this guide depends on the web app.
Turn on templates for query replies in Gmail on Mac
Most query replies are the same few messages. A template saves you from retyping them. Gmail turns templates off by default. To turn them on, go to Settings > See all settings > Advanced. Next to Templates, click Enable, then click Save Changes. Google's help says you can only turn on and use templates from a computer, not the mobile app.
Creating a template starts from a draft. Write the reply the way you want it to read. Then click More options in the compose window and choose Templates. Pick Save draft as template, then Save as new template. Give it a name you will recognize in a month, such as Query reply or Partial request.
- Insert later: Compose > More options > Templates, then choose one under Insert template.
- Overwrite: open a draft, choose Save draft as template, then pick the template under Overwrite Template.
- Delete: More options > Templates > Delete template. Deleted templates cannot be recovered.
- Back up first: copy each template's text into a note, so one misclick does not cost you the wording.
Here is a worked example. You get a query that fits your list, but you want to see more before you decide. Write one template that asks for a partial. Save it as Partial request. The next time a query like that arrives, insert the template, change the title line, and read it once. That is the whole point of a template.
Auto-replies for queries with a Gmail filter
Gmail sends a template automatically only through a filter. Click Show search options, enter your criteria, then click Create filter. Tick Send template and choose the template. The help page does not say how many templates you can keep, so start with one or two.
Test the filter before you trust it. Send a message that matches your criteria to a second address you own. Check that the template arrives and that unrelated mail does not match. A broad filter will also answer mail you wanted to read yourself. That mistake is hard to take back.
Use auto-replies only for a plain acknowledgment that fits every case. A reply that needs a decision belongs in your own hands. For more on how filters work, read how to create a filter in Gmail on Mac.
Schedule Gmail emails to send later on Mac
Scheduled send lets you write now and send later. Gmail's help says you can have up to 100 scheduled emails at one time. Scheduled emails go out according to the time zone you chose when you scheduled them. Google says they may be sent a few minutes after the scheduled time. Canceling a scheduled email turns it back into a draft.
Time zones cause the most confusion. Suppose you write late at night at home, then schedule a reply for the morning in the agent's city. The send follows the zone you picked, not the zone your Mac is in now. Set the time zone on purpose, and say it out loud before you confirm.
Do you need scheduling at all? Robert Lee Brewer wrote in Writer's Digest in March 2020 that online submissions are always open. Agents get to a submission when they get to it. The piece adds that sending at a particular hour or on a weekend gives no advantage. So schedule for your own calendar, not for a better chance.
Snooze queries and manuscripts in Gmail on Mac
Snooze hides an email until a day and time you choose. On a computer, hover over the email, click the Snooze icon on the right, then pick a later day and time. The email comes back to the top of your inbox when you want it to. Find snoozed mail under Snoozed, or search in:snoozed.

Snooze is not a reminder. Google's snooze help page does not mention reminders, notifications or limits. A snoozed email returns quietly. If you need a ping, set one in Apple Reminders. Lazur can add a reminder by voice, so you do not need to switch apps.
Reading takes time that agents often do not have. Mary C. Moore writes that agents have to carve out time for the manuscript they have been sitting on. The same post says a response can take weeks, months, or even a year, depending on the agent's workload. Track your own follow-up dates, and leave the agent's timing alone.
Multiple inboxes for submissions in Gmail on Mac
Multiple inboxes splits your inbox into sections, and each section is a Gmail search. You set it up on a computer. Go to Settings > See all settings, then find Inbox type. Choose Multiple inboxes, then click Customize. Each section gets a name, a search query, a page size and a position.
| Section name | Search query | What it shows |
|---|---|---|
| Starred | is:starred | Mail you marked as important |
| Snoozed | in:snoozed | Mail waiting for a later date |
| Queries to answer | label:queries | Mail under a label you made for queries |
Gmail's help does not say how many sections you can add. Keep the list short anyway. Each extra section is one more place to look, and the inbox loses its point. Labels make the sections work. Create one label per stage, then build one section for each stage. See how to create a label in Gmail on Mac.
Filters can apply those labels for you. A filter that matches a sender or a subject line can add the label on arrival. Check each filter on a test address first, the same way you check an auto-reply filter.
Where Lazur helps with Gmail on Mac
Lazur is a voice assistant for the Mac that lives in the notch. Hold Option plus Command, written ⌥ ⌘, and ask about anything on your screen. Lazur answers out loud. Ask where a button is, and Lazur draws a circle and a label around it on your screen.
Ask how to do something, and Lazur guides you one click at a time. It waits for each click before it gives the next step. It does not click for you. That matters in Gmail, where settings sit several levels deep and the layout can change between versions. You keep control of your inbox.
Lazur also drafts and types text. Hold fn to dictate clean, formatted text at the cursor in any app, including the Gmail reply box. Snippets, a personal dictionary and clipboard slots handle the reply you send every week. Lazur also keeps a memory of what you asked and did, on your Mac.
Lazur listens and looks at your screen only while you hold the shortcut. Audio and the screenshot go to AI providers so they can answer you, and they are not stored. Content is never used to train AI models. A query letter is still private material. Close the thread before you ask about the screen.
Dictate replies and check them before you send

Hold fn and speak, and dictation types clean text at your cursor. In Gmail, that means the body of a reply. Dictation is unlimited with Lazur, but the main job is still the reply itself. Speak in full sentences. Pause after each point so the punctuation lands where you expect.
Dictation misses names. Agent names, author names and book titles are where mistakes hide. Add them to your personal dictionary before a batch. Then read each reply once before you send. You can check how your speech comes through with the dictation accuracy checker.
- Check the agent's name and spelling against the query.
- Check every book title and every page request.
- Check the greeting and the sign-off, which are easy to mistype.
- Remove any client detail you did not mean to say aloud.
Compare your speaking and typing speed before you lean on voice. The typing speed test gives you a baseline for the typing side.
How many queries literary agents get, and what the figures show
The public numbers are thin. Darling Axe gathered answers from individual literary agents in interviews. The site says those figures are not from a survey, so they do not represent all agents. Still, they show the scale. The table below lists what each agent or agency reported.
| Agent or agency | Reported figure | Note from the source |
|---|---|---|
| Carlisle K. Webber | About 5,000 queries a year | Own count, rounded. May request about fifty full manuscripts and offer on about ten. |
| One agency, reported by Carrie Plitt | 200 to 400 submissions a month | The article calculates about 3,000 a year at 300 a month. Takes on only a few new clients a year. |
| Sarah Davies's agency | 20 to 40 manuscripts requested a year | Receives several thousand submissions a year. Takes on two or three new clients annually. |
Scale changes what helps. At several hundred submissions a month, search and filters save more time than any single template. Use the same logic on a smaller inbox too. Sort first, then reply.

Average time on one screen before switching, general computer use
Our 47-Second Attention Span With Gloria Mark (Steelcase)Gloria Mark's work at UC Irvine finds that attention on one screen averages 47 seconds before switching. That average covers general computer use, not email. It was about two and a half minutes when measurement began in 2004. Treat it as a warning about switching, not as a rule for your inbox.
What does the scale mean for you? Pick the sections you check first. Use snooze for mail that needs a decision later. Use a template for mail that needs the same answer every time.
Mistakes people make with Gmail templates and scheduling
- Writing a template on a phone. Templates are computer-only in Gmail, so set them up at a desk.
- Deleting an old template to tidy up. Deleted templates cannot be recovered, so copy the text first.
- Trusting snooze as a reminder. Snooze returns mail to the inbox and does not promise a notification.
- Setting a schedule without checking the time zone. The send follows the zone you chose, not your current one.
- Using a broad filter for auto-replies. A broad filter answers mail you meant to read yourself.
- Assuming a scheduled email goes out at the exact minute. Gmail may send it a few minutes late.
Most of these mistakes are quick to fix. The expensive ones are the ones you cannot undo, such as a deleted template or a filter that answered the wrong mail. Test a filter before you rely on it, and back up a template before you delete it.
Edge cases on a shared or older Mac
A shared Mac changes the setup. A Safari web app lives in the Applications folder of your home folder, so another user account will not see it. Sign out of Gmail before you leave a shared machine. Check which account you are signed into before you change any setting.
Older Macs need the browser route. Without macOS Sonoma 14 or later, File > Add to Dock is not available. Lazur runs on macOS, on both Apple silicon and Intel Macs. Windows is planned, not available, so Windows users will need another setup for now.
What to do next with Gmail on Mac
- Turn on templates under Settings > See all settings > Advanced, then save one reply you send every week.
- Create one filter for a query you can answer with a template. Test it on a second address first.
- Set up multiple inboxes with a Starred section and a Snoozed section.
- Turn on Gmail's keyboard shortcuts with the keyboard shortcuts guide.
- Try Lazur from the download page, then hold ⌥ ⌘ the next time a settings path stumps you.
Start with the template. It saves the most typing for the least setup. The rest can wait until your inbox starts to fill.
Questions people ask
Is there a Gmail app for Mac?
Google's help pages describe Gmail as a browser app, and they do not describe a Mac app. On macOS Sonoma 14 or later, Safari can make a standalone Gmail window with File > Add to Dock. Otherwise, use a browser tab.
Can I set up Gmail templates on my iPhone?
No. Google's help says you can only turn on and use message templates from a computer, not the mobile app. Set them up at your Mac.
Can a Gmail template reply to a query automatically?
Yes, but only through a filter. Click Show search options, enter criteria, choose Create filter, tick Send template, then pick the template. Test the filter on a second address first, because a broad filter also answers mail you want to read.
How many scheduled emails can I have in Gmail?
Gmail's help says you can have up to 100 scheduled emails. Scheduled emails follow the time zone you chose, and they can go out a few minutes after the set time. Canceling one turns it back into a draft.
Does snooze send me a reminder in Gmail?
Google's snooze help page does not mention reminders or notifications. The email returns to the top of your inbox at the time you set. For a real reminder, use Apple Reminders. Lazur can add one by voice.
Can I recover a deleted Gmail template?
No. Deleted Gmail templates cannot be recovered. Copy the text into a note before you delete anything. Deletion is under More options > Templates > Delete template.
Does Lazur work inside Gmail for me?
No. Lazur does not click buttons or operate other apps for you. It points at things on your screen, guides you one click at a time, drafts text and answers out loud. It is not a plugin or add-in for Gmail.
Do literary agents really get thousands of queries?
Some do. Darling Axe reports one agent's own rounded count of about 5,000 queries a year. The figures come from interviews, not a survey, so treat them as examples rather than averages.
