Gmail for Sales Development Representatives on Mac: templates, shortcuts, scheduled sends
Gmail for sales development representatives on Mac means running Gmail in your browser and setting it up for repeat outreach. Turn on Templates, turn on keyboard shortcuts, and learn Schedule send. Then check the sending limits before a big send day, because hitting one can block you for up to 24 hours.
You say“Lazur, draft a short follow-up to this thread. One question, no pressure.”
Lazur · drafts itLazur reads the thread on your screen and types a short follow-up. You edit it, then press Send yourself.
Draft at your cursor
Hi Dana, bumping this in case it got buried. Is a call next week still a fit, or should I check back later?
Quick answer
- Gmail on a Mac runs in Safari or Chrome. The steps in this guide are browser steps, so set everything up there.
- Turn on Templates under Settings > See all settings > Advanced, then save your best outreach as templates.
- Keyboard shortcuts stay off until you save the setting. On a Mac, the Command key (⌘) replaces Ctrl.
- Schedule send holds up to 100 scheduled emails at once. Check your sending limits before a big send day.
- Lazur points at the button you need, guides each click, drafts replies and dictates text. It does not send email for you.

Gmail on a Mac is the Gmail web app in your browser. You open it in Safari or Chrome, sign in, and work from there. This page covers the features that matter most for sales development work: Templates, keyboard shortcuts, Schedule send, and sending limits.

What SDR work looks like in Gmail
A sales development representative, or SDR, starts conversations with people who have not heard from you yet. Your inbox fills with first emails, replies, and follow-ups you promised to send. Much of the work repeats. The same opening line goes to a new prospect. The same check-in goes out after a quiet week.
This guide assumes your week has four kinds of Gmail work. The split is based on how Gmail is built, not on a survey of SDRs. Compare it with your own week before you change anything.
- First touches: one new email to a prospect, with a clear ask.
- Follow-ups: more messages in the same thread, sent after a gap.
- Replies: answering objections, booking calls, and passing warm leads to account executives.
- Admin: adding tasks, snoozing threads, and keeping the inbox easy to search.
Each kind of work needs a different feature. First touches need Templates. Follow-ups need Schedule send. Replies need keyboard shortcuts, so your hands stay on the keyboard. Admin needs Tasks, Snooze and a clean inbox.
How much of your week goes to selling
Selling takes less of the week than most people expect. Salesforce's 2022 State of Sales report found that sales reps spend 28% of their week selling. The survey ran from August 24 to September 30, 2022. It covered sales reps in general, not SDRs.
Salesforce also said most non-selling time goes to deal management and data entry. The report does not give separate percentages for those tasks. That is why small Gmail habits matter. Each saved click gives you a little more time for calls.

Schedule emails to send later: Gmail HelpGmail cannot fix a weak pitch. It can cut the clicks and retyping that fill the gaps between emails. The next sections go feature by feature, starting with the one that saves the most typing.
Set up Templates so you stop retyping the same email
Templates are off by default. Turn them on once. Then save your best first touches, follow-ups, and breakup emails as reusable text. Google describes Templates as a feature for Gmail on a computer, so do this setup at your Mac.
To turn Templates on, click the gear icon in the top right, then choose Settings > See all settings > Advanced. Next to Templates, click Enable. Scroll down and click Save Changes.
To save a template, write the message in a new email. Click the More options icon in the compose window. Choose Templates > Save draft as template. Then pick Save as new template, or pick an existing template under Overwrite Template and click Save.
To insert one, open a new email, click More options, then choose Templates. Under Insert template, pick the one you need. Edit the first line, then click Send.
Name each template after the step it fits, such as first touch, follow-up one, or breakup. You will search for them in a hurry, so clear names beat neat folders.
Google's help page does not describe name fields in templates. Plan to edit the first line for every prospect. Keep the opening short, so the edit takes only a few seconds.
Turn on keyboard shortcuts before you need them
Gmail keyboard shortcuts are off until you turn them on. Google's help page says the shortcuts will not work unless the setting is on. Go to Settings > See all settings, choose Keyboard shortcuts on, then click Save Changes.
On a Mac, Gmail uses the Command key (⌘) where Windows uses Ctrl. If you learned shortcuts from a Windows guide, swap Ctrl for ⌘ in your head. The table lists the shortcuts that save the most time in an outreach day.
| Shortcut on Mac | What it does |
|---|---|
| ⌘ Enter | Sends the message |
| ⌘ K | Inserts a link |
| ⌘ ⇧ C | Adds a Cc field |
| E | Archives the thread |
| R | Replies to the sender |
| A | Replies to all |
| ⇧ T | Adds the email to Tasks |
| ⌘ ; | Jumps to the next misspelled word, Mac only |
Shift+T deserves a closer look. It adds the open email to Tasks. A prospect who needs a reply next week can sit in your task list, not in your inbox as a guess.
Schedule sends so follow-ups go out at the right time
Schedule send lets you write an email now and send it later. You can have up to 100 scheduled emails at once. Google says a scheduled email may go out a few minutes after the time you pick.
The time you pick follows the time zone you select. Check the zone before you confirm, especially when your prospects are in another region. Google's help page lists iPhone and iPad steps in the version we checked, so the Mac button may look different.
Look for the schedule option in the menu near the Send button. If you cannot find it, ask Lazur to point at it. Lazur draws a circle and a label, so you know exactly where to click.
Cancelling a scheduled email turns it into a draft. You can edit the draft and schedule it again. Do not cancel just to fix one word, because a follow-up can slip if you forget to set it again.

A worked example: one prospect, one full sequence
Say a prospect did not reply to your first email. Your sequence has a first touch, a follow-up, and a breakup. Here is how the Gmail parts fit together.
- First touch: insert your first touch template, change the opening line to the prospect's company, then press ⌘ Enter to send.
- Follow-up: open the thread, press R to reply, insert the follow-up template, then schedule it for later in the week with Schedule send.
- Breakup: write it fresh. A breakup needs a short, direct close. Save it as a new template for the next prospect.
- After the send: press B to snooze the thread, so it returns when the next step is due.
Each step uses one Gmail feature, and none of them needs a new tool. The sequence works best when your templates stay short. Long templates are hard to edit in a hurry.
Lazur can help at each step. Ask it to point at the Templates option, or ask for a shorter breakup email. It types the draft. You read it, then press Send.
Know the sending limits before a big send day
Gmail has sending limits. The numbers below come from Google's Workspace admin help page. That page covers Google Workspace accounts only. Consumer Gmail limits are not listed there, so do not treat these as your limits on a personal account.
- 2,000 messages per day per user.
- 2,000 total recipients per message across To, Cc and Bcc, with no more than 500 external recipients.
- 10,000 total recipients per day, with 1,500 of them for mail merge.
- 3,000 unique recipients per day, including 2,000 external.
- A user who goes over a limit cannot send for up to 24 hours.
Google says the limits can change without notice. Check the page again before a campaign. Your company's admin can tell you which limits apply to your account.
Two habits keep you clear of the limits. Split a long list into smaller batches. Remember that Cc and Bcc count toward the same per message total. A long Cc list uses the same room as a long To list.
What to do when a template or shortcut seems to fail
Start with the setting, not the feature. Most failures come from a setting that is off. Work through this list before you assume Gmail is broken.
- Shortcut does nothing: check Settings > See all settings > Keyboard shortcuts on, then click Save Changes.
- Templates missing: check that Templates is enabled under Settings > See all settings > Advanced.
- Template gone: deleted templates cannot be recovered, so look in your notes for the copy you saved.
- Sending blocked: you may have passed a Workspace limit. Wait up to 24 hours, then check the limits on the admin page.
If the menu does not match these steps, Google may have moved things. Ask Lazur to point at the option you need, and it will circle the spot on your screen.
Archive, snooze and star so the inbox stays easy to search
A clean inbox helps you find the reply that matters. Gmail's single-key shortcuts do most of the work. E archives a thread, S stars it, and B snoozes it until later. Z undoes your last action, which helps when a key lands on the wrong thread.
For the step by step, read How to archive emails in Gmail on Mac and How to snooze an email in Gmail on Mac.
Labels give each stage a name you can search, such as Follow up or Waiting on reply. Filters can send matching mail to a label for you. See How to create a label in Gmail on Mac and How to create a filter in Gmail on Mac.
When more than one person works the same inbox
Sometimes a teammate sends from your mailbox, or covers it while you are away. Gmail's delegate access handles that. Read How to give delegate access in Gmail on Mac before you share anything.
Agree on who answers which thread. Two people replying to the same prospect looks sloppy, and it can confuse the buyer. Write the rule down, so nobody has to guess each morning.
Mistakes SDRs make in Gmail on Mac
- Assuming shortcuts work out of the box. Turn them on first, then test E on one thread.
- Saving a variant over your best template. Use Save as new template for each version.
- Deleting a template to clean up. Google says deleted templates cannot be recovered, so copy the text first.
- Sending one bulk email to a long list. Google caps external recipients per message at 500 on Workspace, so split the list.
- Cancelling a scheduled email to fix a typo, then forgetting to schedule it again.
- Treating the 28% figure as an SDR benchmark. The survey covered sales reps in general.
Most of these mistakes take a minute to fix once you see them. The worst one is deleting a template. Copy the text first, every time.
Dictate and draft replies without typing everything
Hold fn to dictate. Hold the key, talk, then let go. Lazur types clean, formatted text at the cursor in any app, including the Gmail compose window. Dictation is included with Lazur. It saves the most typing on reply-heavy days.
Use the personal dictionary for names speech tools miss. Add prospect company names and your own product names. Snippets help with a sign-off or a calendar link you paste often. Clipboard slots keep several items ready at once.
Lazur also drafts text. Ask for a reply to the thread on screen, and Lazur types a draft you can edit. Lazur does not click Send. You read the draft, change what needs changing, and press Send yourself.

Ask Lazur for help when you are stuck in Gmail
Hold ⌥ ⌘, Option and Command together, to ask about anything on screen. Lazur answers out loud. Ask where something is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time.
Short questions work best. Ask 'Where is Templates in this window?' rather than 'How does Gmail work?' The first gets a circle on your screen. The second gets a long answer you have to sort through.
Research jobs run in Lazur's own Chrome tabs, separate from your Gmail. When the job ends, Lazur comes back with a summary and a report. Use it for a company you plan to mention in an email, not for a long prospect list.
Privacy for prospect emails
Prospect emails hold names, companies, and sometimes deal details. Read your company's policy before you use any AI tool on them. Lazur listens and looks at the screen only while you hold the shortcut.
When you ask a question, the audio and a screenshot go to AI providers so Lazur can answer. They are not stored. Content is never used to train AI models. Lazur keeps a memory of what you asked and did, on your Mac.
A simple Gmail routine for an SDR day
Set up the features once. Then repeat the same routine each day. Clear replies first, because a fast answer keeps a conversation warm. Then send first touches from templates, and schedule follow-ups for later.
- Clear replies first. Archive what is done, and snooze what waits.
- Send first touches from templates, editing the opening line each time.
- Schedule follow-ups in one sitting, checking each time zone.
- Check the sending limits before any bulk send.
- Log the next step as a task with Shift+T.
Keep the routine short. A routine you follow beats a long one you skip.

Questions people ask
Is there a Gmail app for Mac, or do I use the browser?
This guide covers the browser version of Gmail, which runs in Safari or Chrome. Install-as-app routes for Gmail were not checked, so they are left out. The menu paths here match the browser version.
Why don't my Gmail keyboard shortcuts work on my Mac?
Shortcuts stay off until you turn them on. Go to Settings > See all settings, choose Keyboard shortcuts on, then click Save Changes. Gmail does not show an error when a shortcut is off, so the key just does nothing.
Does Gmail Templates work on my iPhone?
Google's help page describes Templates on a computer. It does not describe a mobile option. Do your template setup at your Mac, then use the templates from there.
How many scheduled emails can I have in Gmail at once?
Google's Schedule send help page says you can have up to 100 scheduled emails at once. Cancelling a scheduled email turns it into a draft, so you can edit it and schedule it again.
What is the daily sending limit for Gmail?
For Google Workspace accounts, the limit is 2,000 messages per day per user. Google's page covers Workspace only, and consumer Gmail limits are not listed there. Limits can change without notice, so check with your admin.
Can Lazur send my emails for me?
No. Lazur does not click buttons or operate other apps for you. It can point at the Send button, draft the text, and type it. You read the text, then press Send.
Does Lazur keep copies of my prospect emails?
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer you, and they are not stored. Content is never used to train AI models. Check your company's policy before you share prospect data with any AI tool.
Does Lazur work on Windows?
Not yet. Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned but not available.
