How to pin an email in Outlook on Mac: new Outlook steps for 2026
To pin an email in new Outlook for Mac, hover over the message in your list and click the pin icon that appears to the right of the message title. Pinned messages stay at the top only when the list is sorted by Date, and you can't change the order of your pins.
Quick answer
- Hover over the email in your list and click the pin icon to the right of the message title.
- Pins sit at the top only when the list is sorted by Date.
- Pinning works in the new Outlook for Mac, but not in Drafts, Archive, Sent, or Deleted Items.
- You can't change the order of pins, and Microsoft doesn't document a pin shortcut.
What you need
- New Outlook for Mac installed
- The email sits in the Inbox or another mail folder
- The message list sorted by Date
How to Pin an email in Outlook on Mac in Outlook on a Mac
Open the new Outlook for Mac
Open Outlook and confirm you are in the new Outlook for Mac. Classic Outlook for Mac support ended after October 2025, so the new app is the Mac client to use. Open the folder that holds the email, usually the Inbox.
Tip: Check the version number and compare it with Microsoft's release notes page if you're unsure which build you have.
Sort the list by Date
Find the sort control at the top of the message list and choose Date. Pins only sit at the top under a Date sort, so this step matters.
Tip: Microsoft's Outlook.com help describes this control. Labels on the Mac can differ slightly, so look for the sort option above the list.
Hover over the email
Move your pointer over the email's row in the list. A pin icon appears to the right of the message title. Leave the email closed for now.
Tip: The icon only shows on hover. A screenshot taken without the pointer over the row won't show it.
Click the pin icon
Click the pin icon. The email is now pinned. Under a Date sort, it moves to the top of the list.
Tip: Office Watch's 2023 guide describes right-click, then Pin. Use whichever route you can find on your build.
Confirm the pin
Look at the top of the list. The pinned email should sit above the messages around it. Hover over it again, and the icon now reads as Unpin.
Tip: If the email doesn't move, check that the list is sorted by Date, then try again.
Pin more than one email
Repeat steps 3 and 4 for each email you want at the top. You can pin several messages, but you can't change the order of the pins. Keep the set small so the list stays easy to scan.
Tip: A long list of pins stops being useful. Keep the set small enough to scan at a glance.
Unpin an email
Hover over the pinned email and click the Unpin icon. Or right-click the message and choose Unpin. The email returns to its normal place in the date order.
Tip: Unpinning removes the pin only. It doesn't delete the email or move it to another folder.
Add Pin to the toolbar (optional)
Office Watch says Pin is not on the Outlook for Mac toolbar by default, but you can add it. Microsoft's pages don't spell out the exact path on Mac, so look for a toolbar customize option and search for Pin.
Tip: If Pin isn't in the list, the hover icon still works. Don't spend long hunting for it.
Pinning keeps one email at the top of your list, so you don't have to search for it again. It's a small feature, and it saves real time when your Inbox runs all day. The steps below use the new Outlook for Mac, the only Mac client Microsoft still supports.
Which Outlook for Mac you have
Microsoft has retired the classic app on the Mac. Classic Outlook for Mac support ended after October 2025. Message center notice MC994282 set an act-by date of October 31, 2025. After that change, you can't switch back to the legacy app. Microsoft's release notes list 16.114.3 as the newest Outlook for Mac build, dated October 27, 2026, with quality and performance improvements only. Check your version against that page before you start.

Release notes for Office for MacPin an email in new Outlook for Mac
The pin control stays hidden until you hover. Point at a message in the list, and a pin icon appears to the right of the message title. Click it, and the message is pinned. You don't need to open the email first. That's the step most people miss. They open the message and look for a pin button somewhere else.
The right-click menu works too. Office Watch's 2023 guide describes right-click, then Pin, and the same menu offers Unpin for pinned messages. Use the hover icon as your main method. Keep the menu as a backup for the times the icon doesn't show.
Sort by Date so pins stay on top
This is the rule that catches people. Pins only sit at the top when the list is sorted by Date. If you sort by sender or subject, the pin still exists. It just won't hold its place above the other messages. Microsoft's Outlook.com help article describes this rule, and it places the Sort by control at the top of the message list. On the Mac, find the sort option above the list and choose Date.

A Microsoft Q&A answer for Outlook.com also points to the Filter control as the place to set a Date sort. Check both the sort and any filter before you decide the pin is broken. A pinned email can look missing when the list is sorted in a different order.
Unpin an email and manage your pins
Unpinning uses the same icon. Once a message is pinned, hover over it, and the icon changes to Unpin. Click it to remove the pin. The email goes back to its normal place in the list. Unpinning only changes the pin, not the email itself.
Pins are simple, and they have limits. You can't change the order of pins, so pins won't build a fixed sequence for you. If you need that, a folder gives you control over where messages sit. See how to create a folder in Outlook on Mac for the steps.
Where pinning does not work
Pinning isn't available in built-in folders such as Drafts, Archive, Sent, or Deleted Items. Microsoft's Tech Community post lists those folders as exceptions. The most common mistake is trying to pin a sent message and deciding the feature is broken. Move the message to your Inbox or a custom folder first, then pin it.
| What you need | What to use |
|---|---|
| Keep a message at the top of the Inbox | Pin it, with the list sorted by Date |
| Keep a sent or archived message visible | Move it to a custom folder, then pin it there |
| Mark something for follow-up with a date | Flag it, then use ⌃1 to ⌃6 for due dates |
| See all flagged mail together | Sort by Flag Status, added in version 16.106 |
Pins and flags look similar but do different jobs. A pin keeps a message at the top of a list sorted by Date. A flag marks it for action. If a message needs both, pin it and flag it.
Add the pin button to your toolbar
Pin isn't on the Outlook for Mac toolbar by default. Office Watch's 2023 guide says you can add it. A toolbar button saves the hover step when you want something visible every time. Microsoft's pages don't spell out the exact customization steps for Mac, so look for a toolbar customize option and search for Pin. If you can't find it, the hover icon does the same job.
Keyboard shortcuts for pinning
Microsoft's keyboard shortcut page for Outlook for Mac lists no pin or unpin shortcut. That page covers Outlook for Microsoft 365, Outlook 2024, and Outlook 2021 for Mac. It does list flag shortcuts. ⌃1 to ⌃6 set due dates, ⌃= sets a flag with a reminder, and ⌃0 marks an item complete. A 2023 Office Watch article lists ⌃P to pin and ⌃⌘P to unpin, and it says Microsoft hasn't confirmed them. Test that shortcut on your build before you count on it.
Pinning in Outlook on the web
The rule is the same on the web. Sort by Date, hover over the message, and select the pin icon. Select the pinned symbol to unpin. If Pin is missing from your actions, open Settings, then Mail, then Customize actions, check Pin, and save. A Microsoft Q&A moderator gives that path for Outlook.com.
When the pin icon is missing
A Microsoft Q&A thread from November 2024 describes a user on a new Mac who could no longer pin items after a fresh Outlook install. Changing the filter to newest on top and sorting by date didn't fix it. Microsoft asked for the client version and whether Pin was missing or greyed out. The thread shows no fix, so collect those details before you ask for help.
- Confirm you are in the new Outlook for Mac, not the classic app.
- Note the version number and compare it with Microsoft's release notes.
- Set the list to sort by Date, then hover over a message again.
- Write down whether Pin is missing or greyed out.
- Report the issue to Microsoft with those details, since Microsoft asked for them.
Mistakes people make with pins
Most pin problems come from a few common habits. Each one looks like a broken feature until you spot it. Check these before you give up on pinning.
- Pinning in a built-in folder. Move the message to the Inbox or a custom folder first.
- Expecting pins to stay on top under another sort. Switch the sort to Date.
- Trying to reorder pins. Microsoft doesn't allow changes to pin order.
- Using an old shortcut from a third-party article. Test it first, because Microsoft doesn't list it.
Next steps for a busy Inbox
If pins aren't enough, a rule can file new mail for you as it arrives. See how to create a rule in Outlook on Mac. To find older messages fast, use search with filters. Both pair well with a short list of pins.

Pins work best for the few emails you check every day. Use folders for mail you keep, and flags for mail you still have to act on. Keep the pin list short, and the top of your Inbox stays useful.

If it does not work
- The pin icon doesn't appear when I hover
- Confirm you're in the new Outlook for Mac and that the list is sorted by Date. Then hover over the row again, or try the right-click menu for Pin.
- The pin is missing or greyed out
- Note the Outlook version and whether Pin is missing or greyed out. Microsoft asked for both details in a Q&A thread, so report it with them.
- My pinned email is not at the top
- Set the list to sort by Date. Pins only hold the top spot under that sort.
- I can't pin an email in Sent or Drafts
- Built-in folders such as Drafts, Archive, Sent, and Deleted Items don't support pinning. Move the email to the Inbox or a custom folder first.
- The keyboard shortcut does nothing
- Microsoft's Mac shortcut list has no pin shortcut. The 2023 Office Watch shortcut is unconfirmed, so use the icon or the right-click menu.
- I want to reorder my pins
- Pins can't be reordered. Keep the set small, or use a folder or flag if you need a fixed sequence.
